Create a linked second-page subprocess by selecting the Local Purchase shape on the main page and choosing Process → Subprocess → Create New, then build the detailed purchase flow on the page Visio creates.^1^
Create and name the second page
These commands apply to Visio Professional 2016–2024:
- On the overview page, select the shape representing Spare Part – Local Purchase Process.
- Select Process → Subprocess → Create New.
- Visio creates a new page and hyperlinks the selected shape to it.
- Rename the new page Spare Part – Local Purchase.
- To open it from the overview, hold Ctrl and click the subprocess shape, or right-click it and select the named hyperlink.^1^
If the Process → Subprocess commands are unavailable, create a second page manually and use an Off-page Reference shape. Dropping that shape onto the first page can create the new page and matching hyperlink automatically.^2^
Recommended second-page flow
Use Start/End for the endpoints, Process rectangles for activities, and a Decision diamond for Direct purchase? Visio defines a subprocess as a set of steps detailed elsewhere and a decision as a branch with outcomes such as Yes and No.^3^
Start
↓
Check availability in stock — 30 minutes
↓
Initiate Purchase Requisition (PR) — 10 minutes
↓
Supply Chain Head approves PR — 10 minutes
↓
<Direct purchase?>
├─ Yes → Purchase goods → Prepare GRV — 1 day → End
│
└─ No → Collect proforma invoices — 1 day
↓
Tender analysis and create PO — 1 hour
↓
Prepare payment request — 10 minutes
↓
Finance confirms PR and approves payment — 4 hours
↓
Audit reviews proforma comparison and verifies prices — 4 hours
↓
Purchase goods and prepare GRV — 1 day
↓
End
Label the connectors leaving the decision diamond Yes and No. The first “Purchased then GRV” step is shown only on the direct-purchase branch; the longer procurement and approval path belongs to the No branch.
The supplied steps do not state what should happen when stock is already available. Therefore, keep Check availability in stock as a process rectangle unless the intended branch is confirmed. If it should be a decision, change it to Available in stock? and add the missing Yes outcome, such as the organization’s stock-issue procedure.
Optional swimlanes
For clearer ownership, use a cross-functional flowchart with these lanes:
- Requesting Department / Store: Check stock; initiate PR
- Supply Chain Head: Approve PR; direct-purchase decision
- Procurement / Supply Chain: Collect proformas; tender analysis; PO; purchase; GRV
- Finance: Confirm PR; approve payment
- Audit: Review comparison and verify pricing
Keep the activity durations inside each process shape on a second line. This avoids adding separate timeline shapes and keeps each duration attached to its activity.
- Select Home → Connector, or press Ctrl+3.
- Drag from one shape to the next.
- After connecting everything, press Ctrl+1 to return to the Pointer Tool.^4^
- Select all shapes, then choose Home → Position → Auto Align & Space.
- Check that arrowheads follow the flow and that Yes/No labels sit beside the correct decision connectors.^3^
Only the .vsdx source file can be edited as a Visio drawing; the attached PDF can be used as a visual reference but cannot receive an editable second Visio page directly.
