Additional features, settings, or issues not covered by specific Microsoft Teams categories
Search for each contact and unhide the conversation first, because a hidden one-to-one chat and its history disappear from the chat list without being deleted.
Restore a hidden chat
For each affected contact:
- In Teams, enter the person’s name in the Search box.
- Select the person from the results.
- If the name appears in italics or Teams identifies the conversation as hidden, select More options (…) > Unhide.
- Select Show hidden chat history if that option appears.
The conversation should return to the chat list with its existing history.^1^
If the chat opens but earlier messages are absent
- Open Teams on the web using the same work account and organization.
- Search for both contacts and compare the message history with the desktop client.
- Also confirm that Teams is connected to the organization in which those conversations originally occurred.
If the messages appear on the web, this is a client-specific display or synchronization issue. Do not clear the Teams cache as the initial response: Microsoft specifically advises against clearing it for missing messages or chat history because it generally does not resolve these issues and removes diagnostic logs needed for investigation.^2^
Determine whether the history was removed
There are two important cases:
- Remove chat history was selected: For a one-to-one chat, this removes the conversation from that user’s chat list and search. Microsoft states that the affected user cannot access it again, although the other participant continues to see their copy.^3^
- An organizational retention policy deleted it: Teams normally displays a notice such as “We’ve deleted older messages due to your org’s retention policy.” Retention policies can apply to specific users, so only certain conversations or users may be affected.^4^
Ask the Microsoft 365 compliance administrator to check:
- Whether a Teams chat retention policy includes the affected account.
- Whether its deletion period covers the missing messages’ creation dates.
- Whether the messages remain discoverable through Microsoft Purview eDiscovery.
A compliance copy retained by a policy or hold can remain searchable in eDiscovery even though it is no longer visible in Teams. That copy is intended for compliance searches and is not expected to be restored into the user’s conversation view.^4^
Escalate if the messages are missing everywhere
If neither chat can be found in desktop, web, or search, and no removal or retention policy explains it, a Microsoft 365 administrator should open a support request:
- Open the Microsoft 365 admin center.
- Select Help & support.
- Describe the two affected contacts, approximate missing date range, affected user, and results from desktop/web testing.
- Select Contact Support and choose phone or email.
Only Microsoft Support can investigate service-side or account-specific data. If the subscriptions were purchased entirely through a partner, the partner must open or handle the request.^5^
