Managing sound and video settings during Teams meetings and calls for optimal communication
If the Test mic and speaker screen produces no speaker tone, select Yes, I can hear it anyway and complete the microphone recording—the playback result determines whether both the microphone and speaker are actually working.^1^
Run the complete Teams test
- On the initial speaker test, click Yes, I can hear it, even if no tone played.
- Speak when prompted, then pause.
- Listen for your recorded voice after the beep:
- Voice plays back: Both devices are working; the missing preliminary tone is a test-screen issue.
- No playback: Continue below.
Alternatively, in the Windows desktop client, open Settings and more (…) → Settings → Devices → Audio settings → Make a test call. Record a short message and listen for it to be played back. The test-call feature is supported in the Teams desktop app for Windows and Mac.^2^
Check Teams-specific device routing
Because both devices work in other applications, check the selections that Teams uses independently:
- Open Teams → Settings and more (…) → Settings → Devices.
- Under Audio settings, explicitly select the working device in both:
- Speaker
- Microphone
- Avoid leaving either selection on an unintended monitor, docking station, webcam microphone, or disconnected Bluetooth device.
- Run Make a test call again.^2^
For a wired device that is absent from the lists, reconnect it. For Bluetooth audio, make sure it is charged and not connected to another device.^3^
Check Windows settings that apply only to Teams
Microphone permission
- Open Windows Settings → Privacy & security → Microphone.
- Turn on:
- Microphone access
- Let apps access your microphone
- Microsoft Teams (work or school)
- Let desktop apps access your microphone
- Close Teams completely, restart Windows, and test again.^4^
Per-app speaker volume and output
While Teams is open:
- Go to Windows Settings → System → Sound → Volume mixer.
- Under Apps, find Microsoft Teams.
- Confirm that Teams is not muted and raise its volume.
- Confirm that its Output device is the same speaker selected inside Teams.
Windows can assign an app a different volume or output device from the system default, which fits a case where other applications still play normally.^5^
If audio still fails
Restart the Windows audio components:
- Press Windows key, type
services.msc, and press Enter. - Right-click Windows Audio → Restart.
- Right-click Windows Audio Endpoint Builder → Restart.
- Reopen Teams and repeat the test call.^5^
If the full test call still has neither recording nor playback after these checks, test an actual Teams meeting or call. If real meetings work, the problem is limited to the test workflow. If meetings also fail, record the selected speaker and microphone names, Windows version, and Teams version and provide them to the organization’s Microsoft 365 administrator for escalation.
