Managing sound and video settings during Teams meetings and calls for optimal communication
Good day Lisa,
Just to gently clarify before going any further, this forum is separate from Microsoft Support. I don’t have the ability to access or investigate individual accounts because this is a user‑to‑user support forum.
To help me better understand the situation and assist you effectively, could you please share a few details such as:
1/ Are you using the Teams desktop app or Teams on the web?
2/ Is your device running Windows or macOS?
3/ Are you using the laptop's built in microphone, a headset, or another audio device?
4/ Does the microphone work normally in other apps such as Zoom or Google Meet?
5/ Did you join the meeting on both the laptop and the phone, or did Teams simply show an option to add or transfer the meeting to the phone?
This will help me better understand the context and provide more targeted support. Any additional information will help me better understand and support you.
Since you can hear other participants, the speaker is working correctly. The focus is to check the microphone settings and ensure the meeting stays on the laptop. If the same Teams account is signed in on both the laptop and the phone, Teams can show options to add the phone or transfer the meeting. The meeting only moves to the phone after that option is selected.
Option 1: Try use Teams on the web
- If you're experiencing the issue in the Teams desktop app, please try joining the meeting using Teams on the web. You can also go to Settings and more (three-dot icon) > Settings > Devices and select Make a test call to test your microphone.
Option 2: Check the microphone in Teams
- In the meeting, make sure the microphone isn't muted.
- Select the arrow next to the microphone icon and open Audio settings.
- Under Microphone, select your laptop microphone or the headset microphone you want to use.
- Speak and confirm that the microphone level moves.
- You can also go to Settings and more (three-dots icon) > Settings > Devices and run Make a test call to test the microphone.
Option 3: Allow microphone access
On Windows:
- Open Settings > Privacy & security > Microphone.
- Turn on Microphone access.
- Turn on Let apps access your microphone.
- Make sure Microsoft Teams is allowed.
- Turn on Let desktop apps access your microphone.
- Restart Teams and test again.
On Mac:
- Open System Settings > Privacy & Security > Microphone.
- Make sure Microsoft Teams is allowed to use the microphone.
- Restart Teams and test again.
Option 4: Check the headset
- Make sure the headset mute button is turned off.
- If the headset has a microphone boom, place it in the active position.
- Disconnect and reconnect the headset.
- Return to Teams Audio settings and select the headset microphone again.
Option 5: Keep the meeting on the laptop only
- If you are signed in to Teams on both your laptop and phone, the meeting can appear on both devices. On the phone, don't select Add this device or Transfer to this device.
- If the meeting is already open on the phone, leave the meeting from the phone.
- On the laptop, make sure Computer audio is selected. In Audio settings, select the laptop microphone and speaker.
- If both devices joined the meeting, select the arrow next to Leave, choose Leave on all my devices and then rejoin from the laptop only.
