Mail Services FE has moved team members to different supervisors. What is the correct process to add team members to a supervisor, remove team members from a supervisor and add new hires to a specific supervisor team?

The supervisor assignments shown in Virtual Audits should be updated by the report’s designated contact or underlying data-source owner, because standard Power BI reports display source data rather than provide a general-purpose assignment-management screen.

    Contact the responsible report administrator

    From the Virtual Audits report:

    1. Select the report name in the black header bar.
    2. Select the displayed Contact name or link.
    3. In the generated email, request these specific changes:
      • Employees being transferred: old supervisor and new supervisor.
      • Employees being removed: employee and current supervisor.
      • New hires: employee identifier, start date, and assigned supervisor.
    4. Ask the contact to confirm which source system owns these assignments and when its Power BI refresh will complete.

Power BI uses the report contact for questions and support. If no explicit contact was configured, it displays the workspace contact list or workspace administrators instead.^1^

Do not change report-sharing permissions or Microsoft Teams membership for this purpose. Those settings control access and collaboration, not necessarily the employee-to-supervisor records displayed by Virtual Audits.

If the report contact cannot identify the source

A Power BI workspace administrator, member, or contributor can trace the report:

    1. Open the workspace containing Virtual Audits.
    2. From the workspace list, select the arrow beside View, then Lineage.
    3. Select the Virtual Audits report card or the double arrows beneath it.
    4. Follow the connection to its semantic model, dataflow, and source system.
    5. Open each artifact card to inspect its metadata and identify its contact or owner.

Lineage view requires workspace access, a Power BI Pro license, and an Admin, Member, or Contributor role; a Viewer cannot open it.^2^ If you only have viewing access, send the request to the report contact or your organization’s Power BI administrator rather than requesting editing rights solely to update assignments.

Correct update process once the source is identified

The data owner should perform the corresponding source-system operation:

    • Move a team member: update the employee’s supervisor field from the former supervisor to the new supervisor.
    • Remove a team member: clear or end-date the existing assignment according to the source system’s data rules.
    • Add a new hire: create or update the employee record with the intended supervisor.
    • Validate: refresh the Power BI semantic model if it uses imported data, then confirm that Virtual Audits shows the new hierarchy.

Microsoft documents that corrections to information displayed in Power BI must be made in the underlying source and then propagated through refresh.^3^

Only if Virtual Audits contains an explicit update control

If the report has an Edit, Submit, embedded Power Apps form, or Writeback control, assignments might be editable from the report. This is a custom capability, not normal report viewing behavior:

    • Power BI translytical task flows can be designed to add, update, or delete source records from a report.^4^
    • An embedded Power Apps visual can also provide an update form, but the app must be shared separately and changes may not appear until the report’s next refresh.^5^

If no such control appears, the report is operating as a viewer and the update must be made in its source system. Viewing mode itself does not provide commands that modify report design.^6^

    Hi Maxine,

Based on your description and the Microsoft Teams tag on this thread, are you referring to the organizational reporting structure (Organization chart) in Teams?

If that's not what you're referring to, please provide some additional details so the community can better understand your scenario and provide more accurate guidance.

If that is the scenario, this is typically managed by your organization's IT administrator through Microsoft Entra admin center or the user's Manager information in Microsoft 365 admin center > Users > Active users > select the user > Edit manager.

Whether you're moving an employee to a different supervisor, removing an employee from a supervisor's reporting line, or assigning a new hire to a supervisor, the underlying process is typically the same. Teams and Outlook then use that information to display the organizational structure. User's image

I hope this information helps. If this aligns with what you're trying to accomplish, your IT administrator can follow the guidance above. If not, please provide some additional details about your scenario so the community can assist further.
