Check Excel’s Check In dialog for an option to keep or leave the workbook checked out; enable it when available, because a normal check-in ends the checkout, whereas Office clients can expose content-editing options that leave the document checked out on the server.^1^
Verify which behavior is occurring
- Open the workbook from the SharePoint library and check it out.
- In Excel, select File → Info → Check In.
- In the Check In dialog, look for an option that keeps/leaves the workbook checked out after creating the version.
- If present, select it before completing the check-in.
- Compare this dialog with Word’s check-in dialog on the same computer. Availability and wording can differ by Office application and build; Microsoft’s public documentation does not establish the exact Excel checkbox text for every SharePoint Server 2019/Office combination.
- Immediately after checking in, inspect the workbook in the SharePoint library:
- Checkout icon gone: Excel completed the check-in and ended the checkout. The disappearance of Excel’s server/sync indicator may therefore represent the completed workflow, not a dropped connection.
- Workbook still shown as checked out to the user: Excel has lost its active SharePoint state unexpectedly and requires client-side investigation.
SharePoint Server 2019 permits repeatedly saving a checked-out document without creating a visible version. A new version becomes visible when it is checked in. Office clients may also offer content-editing options to leave the document checked out.^1^
If Excel does not offer “keep checked out”
No documented SharePoint library setting forces Excel to retain the checkout after every check-in. Use this reliable fallback:
- Finish the check-in in Excel.
- In the SharePoint library, select the workbook and choose … → Check out. In the classic experience, use Files → Check Out.
- Reopen the workbook in Excel before continuing to edit.
- When finished, use File → Info → Check In, enter a comment, and select OK.^2^
This creates separate controlled versions while avoiding reliance on a Word-only or build-specific dialog option.
If SharePoint still shows the workbook checked out
That indicates a synchronization/client integration problem rather than a normal completed check-in.
- Protect current changes first. Save a temporary local copy of the workbook before clearing or repairing anything.
- Record:
- Excel edition and full build from File → Account → About Excel.
- Whether
.xlsxand.xlsmfiles behave identically. - Whether the problem follows the user, workstation, or workbook.
- Test a new
.xlsxworkbook in the same library and the affected workbook from another workstation with the same Office build. This separates workbook-specific behavior from an Excel build or machine issue. - If the installed Office version provides Microsoft Upload Center, use Upload Center → Settings → Delete Cached Files, then restart Windows and retest. Do not manually delete the Office cache folder; Microsoft warns that manual removal can cause crashes or unrecoverable data loss.^3^ The supported Upload Center procedure is documented separately.^4^
A reported Microsoft 365 Apps regression in versions 2509 and 2510 involved Excel losing synchronization while a workbook remained checked out. That report is applicable only if synchronization disappears independently during editing—not merely after a completed check-in. If your deployment matches those builds, have the Office deployment administrator test the previously working build and open a Microsoft Support case with the Excel build, SharePoint patch level, reproduction steps, and logs.^5^
The absence of Internet access does not by itself identify the cause here. The relevant connection is between Excel and the on-premises SharePoint Server; first determine whether SharePoint ended the checkout or still records it as active. If the latter persists after build and cache isolation, escalate through the organization’s Office/SharePoint administrators and then Microsoft Support.
