I had created a recurring calendar invite and had recently moved from legacy to new.

I had cancelled a meeting and it is not appearing on my calendar, but appears on others calendar, how do i delete from all the calendar.

I checked the web browser calendar, i dont find that entry.

This matches a known Outlook issue where a meeting is missing from the organizer’s calendar but still appears on attendees’ calendars. Microsoft fixed the issue for new meetings with service build 15.20.7844.00, but meetings created before September 1, 2024 can still be affected.

To remove it from everyone’s calendar when it no longer appears on the organizer’s calendar:

    1. Ask one attendee to send the missing meeting back as an .ICS file.
      • For a recurring meeting, they must send the entire series.
      • They can do this by either:
        • opening the calendar item and using FWD as ICS, or
        • opening the item, using File > Save As, and sending the saved ICS file.
    2. Save the .ICS file on the computer where Outlook is used.
    3. Open the .ICS file in Notepad or a similar text editor.
    4. Change:
      • METHOD:REQUEST to:
      • METHOD:PUBLISH
    5. Save the modified ICS file.
    6. Double-click the modified ICS file to open it in Outlook.
    7. Use the Cancellation button that appears to send the cancellation. This gives control of the meeting back to the organizer so it can be canceled for attendees.

If the meeting is visible only to attendees as a canceled item, recipients can also remove it from their own calendars manually:

    • In Outlook, go to Calendar.
    • If they did not organize the meeting, right-click it and select Delete.
    • For recurring items, they can delete the Occurrence or the Series.

    Hi Usha,

The AI answer is generally aligned with the official workaround for regaining control of a meeting that is missing from the organizer’s calendar. As the required .ICS steps have already been covered above, I would just like to add a few clarifications.

Although the reported behavior resembles the documented issue, moving from legacy Outlook to new Outlook does not by itself confirm that this is the same issue.

Also, asking attendees to delete the meeting will only remove it from their individual calendars. It will not cancel or remove the meeting from everyone’s calendar. Therefore, to send a cancellation to all attendees, please follow the .ICS workaround provided in the AI answer.

If the workaround does not restore the cancellation option, please contact your IT administrator and ask them to open a support request so the Exchange calendar item can be investigated. For detailed instructions on how to contact Microsoft Support and submit a support request, they can refer to the following guide:

I hope these additional details help clarify the appropriate next step. If you have any questions or would like to share the outcome, please feel free to let me know.
