Additional calendar-related features and issues within Microsoft Teams for business
Dear Aris,
From my research, in Microsoft Bookings, the online-meeting setting, location, and follow-up email are controlled by the service the appointment was booked under. Changes to the service usually only apply to new bookings, and an existing appointment that already has a Teams link can't be switched to in person. The most reliable way to handle this is to rebook the appointment under an in‑person service:
- Set up the service: Edit an existing service or create a new one with Add online meeting turned off, then enter the physical location.
- Add the reminder email: In the same service, open the notification settings and add the reminder email you need.
- Rebook the appointment: Create a new booking for the same customer and time using that service, then cancel the original appointment.
Please note that the customer will receive a cancellation email for the original appointment and a new confirmation, so it may help to let them know about the change beforehand. If you are unable to create or cancel bookings, a Bookings administrator for your calendar can do this for you, as your role may not include those permissions.
If rebooking isn't practical, you can also keep the existing appointment and simply let the customer know the new location by email.
I hope this helps. Looking forward to your reply.
