Was not aware of the publisher being retired and we have many hours of design work we now cannot access even to try and convert some of the work into another program. Is there anything we can do?.

If access to Publisher is already gone in a Microsoft 365 installation, Publisher files cannot be opened or converted in Word directly without first opening them in Publisher.

    Supported options are:

    1. If a perpetual version of Publisher is available A perpetual version can still be installed and used beyond October 2026, even though support ends. That is the most direct way to reopen .pub files and then export content.
    2. Convert Publisher text to Word from within Publisher If Publisher can still be opened on any PC:
      • Open the Publisher file.
      • Select File > Save As.
      • Choose a save location.
      • In Save as type, select a Word format.
      • Select Save.
Important limitation: this does not preserve the full publication. Text and font formatting are preserved, but graphics, columns, and overall layout are not preserved.
    3. Use the PDF-to-Word path when layout needs to be referenced
      • Open the Publisher file.
      • Go to File > Save as.
      • Save it as PDF.
      • Open Word.
      • Go to File > Open and open the PDF.
      • Select OK.
Word will convert the PDF into an editable document. The result is optimized for text editing, so the layout can vary from the original, especially for graphic-heavy files.
    4. For many files, use bulk conversion to PDF For a large number of Publisher files, Microsoft recommends automating export with a PowerShell script.
    5. If only viewing is needed There is no Publisher viewer. The supported workaround is to convert files to PDF.

If no working Publisher installation is available at all, the only documented alternatives are:

    • use a perpetual Publisher installation if available,
    • use a third-party conversion tool,
    • or recover access on a machine that still has Publisher so the files can be exported.

If you need this done in a hurry, I suggest hiring a professional technician to do the work. Otherwise you'll need to start your research from the very beginning.

Here is a prompt you can use with the AI of your preference. (I like ChatGPT.) You'll likely need some back and forth with the AI to get all the information you want.

Remember that when 'talking' to AI, the more clearly you express yourself and the more detail you include, the better the answer you'll get, which is the same as when you are speaking to an actual person.

If I had more specific information about the contents of your .pub files I could have done better, but this is a beginning:

I have (hundreds, thousands) of Microsoft Publisher .pub files that I cannot open, now that Microsoft has retired Publisher. Many of these files contain (include a few specific features that you clearly describe). These files were originally created in (version of Publisher). What are some of my choices to make these files usable for (explain how you will use the converted files).

    Hello Mark Horton,

I understand how concerning this is, especially after your organization has invested many hours in creating these Publisher files.

Could you please confirm which version of Publisher you previously used? Was Publisher included with your Microsoft 365 subscription, or was it a one-time purchase version such as Publisher 2021?

The .pub files themselves are not necessarily lost if they are still stored on your computer, OneDrive, network storage, or backup. However, if Publisher was included with Microsoft 365, you will no longer be able to open or edit those files using Microsoft Publisher after the product’s retirement.

Please check with your IT administrator whether your organization still has a computer with Publisher installed and working, or a valid one-time purchase license for Publisher or Office that included Publisher. If such a computer is available, I recommend using it to open the .pub files and export them to PDF as soon as possible. The PDF files can then be opened in Word if further text editing is required, although complex layouts may not remain exactly the same.

It would also be helpful to ask your IT administrator whether the organization still has an older computer with Publisher installed, a previously purchased perpetual Publisher or Office license, existing PDF or exported copies of the publications, or a system backup created before Publisher was removed.

Microsoft provides detailed information and preparation guidance here: Microsoft Publisher will no longer be supported after October 2026

    Kind regards,
