Dear Microsoft Support Team,

I would like to request technical assistance with a search issue in Microsoft Outlook 2024 Home & Business.

Issue Description

After upgrading from Microsoft Office 2016 to Microsoft Office 2024 Home & Business (Retail), I started experiencing problems with Outlook's email search functionality.

Specifically, I am unable to reliably search for emails stored in a local Outlook Data File (.pst). The search function does not return the expected results, making it difficult to locate archived emails.

Troubleshooting History

I have previously investigated the Windows Search indexing configuration, including the following areas:

  • Verified the Outlook indexing configuration in Windows Indexing Options.

Investigated rebuilding the Windows Search index.

Reviewed Outlook search indexing settings and the indexing status.

Investigated Windows Search service-related troubleshooting.

However, the issue remains unresolved.

Expected Behavior

Outlook should be able to search and return relevant emails stored in local PST files, including emails matching the specified keywords or search criteria.

Actual Behavior

Search results do not reliably include the expected emails stored in the local PST file.

Technical Environment

Product: Microsoft Outlook 2024 Home & Business

License / Installation: Retail

Email Account: Microsoft 365 / Exchange Online

Data File: Local Outlook Data File (.pst)

Operating System: Windows (exact version/build can be provided if required)

Request for Assistance

Could you please help investigate the root cause of this issue and provide a recommended resolution?

In particular, I would appreciate assistance with:

Identifying potential Outlook 2024 compatibility or indexing issues affecting searches in local PST files.

Verifying whether Windows Search indexing is correctly processing the PST file and its contents.

Determining whether any known issues, updates, or configuration changes could cause incomplete or inaccurate search results.

Providing the appropriate troubleshooting steps or escalation to the relevant technical team if necessary.

I would appreciate a clear, step-by-step resolution that does not risk losing or corrupting the data stored in my existing PST files.

Please let me know if you require any additional diagnostic information, Outlook version details, screenshots, or logs.

Thank you for your support.Dear Microsoft Support Team,

    Hi @Galvin Tran

Thank you for providing the detailed information. I understand how inconvenient it is when Outlook cannot reliably locate messages stored in an important local PST file.

Since you have already checked and rebuilt the Windows Search index, please first make a backup copy of the PST file, then confirm that the original file is stored on a local internal drive rather than OneDrive, a network drive, or another synchronized folder.

Next, test Outlook in Safe Mode:

    • Close Outlook completely.
    • Press Win + R.
    • Enter outlook.exe /safe, then select OK.
    • Open the affected PST and repeat the search using a distinctive sender, subject, or phrase.

If the missing messages appear in Safe Mode, an Outlook add-in may be interfering with search. Open File > Options > Add-ins, select COM Add-ins next to Manage, and then select Go. Temporarily disable the add-ins and re-enable them individually to identify the conflicting one.

If the issue remains, keep Outlook open and idle for several hours because PST content is indexed only while Outlook is running. You can monitor the progress under Search Tools > Indexing Status.

As an additional isolation test, you may attach a backup copy of the PST to Outlook 2024 on another Windows computer. If the same search problem follows the PST, the issue is likely associated with that data file. If the search works normally, the original Windows Search or Outlook environment is more likely responsible.

Please avoid moving, overwriting, or modifying the original PST until you have confirmed that the backup can be opened successfully.

I hope this helps narrow down the cause of the issue.

In classic Outlook 2024, first select the affected PST under Locations to Search and verify that Windows has registered the Office Outlook MSG IFilter, because either omission can prevent PST contents from appearing even when the general index reports completion.^1^

    1. Check the PST-specific search configuration

These are narrower checks than rebuilding the index, which has already been investigated.

    1. Open classic Outlook and click the Search box.
    2. Select Search Tools > Locations to Search.
    3. Confirm that the affected PST/data store is selected.
    4. Search from a folder inside that PST, first with Current Folder, then with All Outlook Items.
      • If only All Outlook Items works, scope or result-volume filtering is likely involved.
      • Narrow the test using a distinctive subject, sender, and date range. Outlook may omit older items when a broad query returns too many results.^1^

    Next, verify the content filter:

    1. Exit Outlook.
    2. Open Control Panel > Indexing Options > Advanced > File Types.
    3. Select the msg extension.
    4. Select Index Properties and File Contents.
    5. Confirm Filter Description displays Office Outlook MSG IFilter.
    6. Reopen Outlook and test the PST again.

If the filter description is missing or different, Microsoft’s guidance is to contact Support because Windows Search may not be working correctly or Outlook’s filters may not have installed correctly.^1^

    2. Isolate the Outlook profile without altering the PST

If those settings are correct, test with a clean Outlook profile:

    1. Hold Shift while starting Outlook.
    2. Select Options, enable Prompt a profile to be used, and select New.
    3. Name the profile and add the Exchange Online account.
    4. Open the new profile.
    5. Attach the existing PST through File > Open & Export > Open Outlook Data File.
    6. Allow indexing to settle, then repeat the same known-item search.

Creating a profile does not delete the old profile or PST. If searching works in the new profile, the original profile is the likely fault boundary; keep the new profile and retain the old one until all settings and data access have been verified.^2^

    3. Check PST integrity safely

Use this branch if search fails only in this particular PST, especially if other PST files search normally or the file shows other abnormal behavior.

    1. In Outlook, locate the PST under File > Account Settings > Account Settings > Data Files.
    2. Exit Outlook.
    3. Make a separate backup copy of the PST before attempting repair.
    4. Run SCANPST.EXE, select the PST, and choose Start.
    5. If errors are reported, retain the backup option and select Repair.
    6. Reopen Outlook and inspect any Recovered Personal Folders or Lost and Found folders before testing search again.

Microsoft recommends backing up the file first. SCANPST can require multiple passes, and severely corrupted items might not be recoverable.^3^

Do not delete or overwrite the original PST while testing. If SCANPST reports recurring errors, create a new PST and move recovered items into it rather than continuing to depend on the damaged file.

    4. Repair Outlook’s installed components

If the PST also fails in a clean profile and SCANPST finds no errors, repair Office to restore damaged Outlook or search-filter components:

    • Windows 11: Start > Installed apps > Microsoft Office 2024 > … > Modify
    • Windows 10: Start > Apps and Features > Microsoft Office 2024 > Modify

Run Quick Repair first. If the behavior remains, run Online Repair, which is more comprehensive and may require reactivation or a restart.^4^

    Known issue and escalation

The current classic Outlook known-issues page applies to Outlook 2024, but it does not list incomplete local-PST search as a general current incident.^5^ The older Windows 11 upgrade issue concerns rebuilding an index deleted during the OS upgrade and applies to Outlook 2016/2019, so it should not be assumed to explain this Office 2016-to-2024 upgrade.^6^

    Escalate to Microsoft Support if:

    • Office Outlook MSG IFilter is absent or incorrect;
    • the affected PST is selected but never completes indexing;
    • the same PST fails in a clean profile after Office repair; or
    • SCANPST repeatedly reports errors.

Provide the exact Windows build, Outlook File > Office Account > About Outlook version/build, PST size and location, MSG IFilter description, indexing item count, whether another PST searches correctly, and results from the clean-profile and SCANPST tests.
