Check Deleted Items and Junk Email first, then use Recover Deleted Items From Server in Classic Outlook if the messages are no longer in either folder.
1. Restore messages still in a mailbox folder
- Open Deleted Items, and then Junk Email.
- Select the missing messages.
- Right-click them and select Move → Inbox, or choose another destination.
Also expand Deleted Items and look for an entire missing folder. If found, drag that folder back to its original location. ^1^
2. Recover messages removed from Deleted Items
If the messages are not there:
- Confirm Outlook is online and connected to the mail server.
- Select Deleted Items in the folder list.
- Select Home → Recover Deleted Items From Server.
- Sort by Deleted On, Subject, or From to locate the messages.
- Select the messages, choose Restore Selected Items, and select OK.
- The recovered messages return to Deleted Items. Move them from there to Inbox.
If Recover Deleted Items From Server is missing, the account does not support this recovery method. If the folder list shows Trash rather than Deleted Items, recovery after emptying Trash is also unsupported for that account. Recovery is time-limited and can be controlled by the mailbox administrator’s retention policy. ^1^
3. Check whether the messages were archived
In Classic Outlook:
- Select View → Folder Pane → Normal to show the complete folder list.
- Open Archive and search for the missing messages.
- If your account also shows an Online Archive, search the relevant folder there. Online Archive has its own folder structure and is not included when searching from the Inbox.
- Move located messages back to Inbox if required.
For an auto-expanded Online Archive, select and search each relevant archive subfolder separately. ^2^
4. Determine whether this is limited to the laptop
Check the same mailbox in Outlook on the web:
- Messages appear on the web: they still exist on the server; the laptop has a synchronization or search problem.
- Messages are absent on the web and from Recoverable Items: continue to the escalation step.
If only older messages are absent locally and the account exposes this setting:
- Select File → Account Settings → Account Settings.
- Select the account and choose Change.
- Move Download email for the past to All.
- Select Next → Done, then restart Outlook.
To check search indexing, click Outlook’s search box and select Search Tools → Indexing Status. Wait for indexing to reach zero remaining items. Also use Search Tools → Locations to Search and select every applicable data file. ^3^
5. Stop messages from disappearing again
If messages continue moving or disappearing:
- Open File → Manage Rules & Alerts. Disable rules that delete messages or move them to Deleted Items, Archive, or another folder.
- Open File → Options → Mail → Conversation Clean Up and inspect the destination configured for cleaned-up messages. ^4^
If recovery still fails
For a work or school mailbox, contact the Microsoft 365 administrator immediately and provide the approximate message dates, senders, subjects, and when the messages disappeared. The administrator may have additional retention-based recovery options.
For a personal Outlook.com account, Microsoft Support is an escalation option, but permanently deleted messages outside the available recovery period may no longer be recoverable.
