For classic Outlook on Windows with a Gmail account, the most common causes are an outdated Outlook build, the Google sign-in flow not completing correctly, or Gmail IMAP/authorization settings.
Try this in order:
- Update Outlook first.
- Open Outlook or any Office app.
- Go to File > Office Account > Update Options > Update Now.
- Restart Windows, then try adding the Gmail account again.
- Add the Gmail account again and complete the Google permission screen carefully.
- When the browser sign-in appears, make sure the Google permissions page is completed.
- If prompted for Microsoft apps & services access, the required permission is:
“Read, compose, send, and permanently delete all your email from Gmail.”
- If Outlook shows an error window and the installation is on Current Channel Version 2412 Build 18324.20168 or later, select Retry to repeat the browser sign-in.
- Check whether Gmail IMAP is the blocker.
- One of the documented errors for this issue is:
“We weren’t able to set up your Google account with IMAP. You may need to make changes to your Gmail settings.”
- This can also happen if IMAP is not enabled for the Gmail account.
- If automatic setup still fails, use manual setup in classic Outlook.
- Go to File.
- Under Account Information, choose Add Account.
- Enter the Gmail address.
- Choose Advanced options > Let me set up my account manually.
- Choose POP or IMAP.
- Enter the account password, then choose Connect.
- If setup fails, choose Change Account Settings and update the server information using the provider’s settings.
- If Outlook prompts repeatedly or hangs after a previous failed Gmail connection, clear saved Outlook OAuth credentials.
- Close Outlook.
- Open Credential Manager.
- Go to Windows Credentials.
- Under Generic credentials, locate entries starting with MicrosoftOffice16_Data:OAUTH2 for the Gmail account.
- Remove those entries.
- Restart Outlook and sign in to Gmail again.
- Restart Outlook one more time if sync does not start immediately.
- If the issue is specifically an older Google sign-in failure:
- A previous fix for Outlook 2019/2021/Microsoft 365 required Enable optional connected experiences:
- File > Office Account > under Account Privacy choose Manage Settings > check Enable optional connected experiences.
- Restart Outlook and try again.
- If the Google permission page shows a grayed-out Allow button:
- Restart the PC and try again.
- If needed, temporarily change the default browser, add the Gmail account, then switch the browser back.
If the failure is happening during the Gmail sign-in window itself, step 1 and step 2 are the highest-value checks because Microsoft documented fixes for the browser-based Google sign-in flow in newer Outlook builds.
