Managing presence indicators such as Available, Busy, or Away to reflect user availability
Teams status indicators are useful, but they are not perfectly reliable as a real-time proof of whether someone is actively working.
How they work:
- Available/Online means the person is active in Teams and has no meeting or call currently reflected.
- Busy is set automatically when the person is in a Teams meeting or on a phone call.
- Do not disturb can be set from calendar information or Teams activity such as meetings or presenting.
- Away is set automatically when the computer is locked or goes idle or sleep.
- Offline means the person is not signed in to Teams.
- Out of office indicates the person is unavailable and out of office.
About other applications:
- In general, Teams can change status automatically based on device state such as locked, idle, or sleep.
- In Teams for Web, there is a specific setting called Keep my current status when I'm active outside of Teams on the web. When enabled, Teams can keep the current status from switching to Away while activity is happening in other browser tabs or apps.
- If that browser permission is blocked, Teams for Web may still change the status to Away even while work is happening elsewhere.
So the bubbles are best treated as presence hints, not exact monitoring signals. They reflect Teams activity, calendar state, and some device/browser activity, but they do not guarantee that a person is continuously watching Teams or available to respond immediately.
There are also known limitations in Outlook presence integration:
- Outlook currently shows Status unknown for federated external Teams contacts.
- Presence can differ between Outlook and Teams for Out of Office scenarios.
