I am looking for some guidance on using Teams webinars v 2 in D365 CRM Customer Insights. We currently use the teams webinars which seems a lot more friendlier in terms of registration.

    Hi @Catherine Stribling,

You can use Teams webinar v2 directly in Dynamics 365 Customer Insights - Journeys, but the registration experience is managed differently from a webinar created directly in Teams. In Customer Insights, the recommended approach is to create the event, registration form, confirmation email, and attendee journey in Customer Insights, while Teams provides the webinar and personalized attendee links.

    1. In Customer Insights - Journeys, open Event planning and select Events.
    2. Create a new event and set Do you want to stream this event? to Yes.
    3. Under Streaming provider, select Teams webinar v2.
    4. Select Open settings to configure the webinar options.
    5. Save the event. This creates the corresponding Teams webinar, and the user saving it becomes the webinar owner.
    6. Create the event registration form or event website in Customer Insights.
    7. Publish the event or session by using Go live before accepting registrations.
    8. Use a Customer Insights journey to send each registrant their personalized webinar access link.

Before webinar v2 registrations can be synchronized with Teams, a tenant administrator must configure Teams authentication in Customer Insights. The setup includes:

    • A Microsoft Entra application registration
    • Microsoft Graph permissions
    • Administrator consent
    • A Teams application access policy that includes each webinar organizer, an appropriate group, or the organization globally

    The documented Graph permissions include:

    • OnlineMeetingArtifact.Read.All
    • VirtualEventRegistration-Anon.ReadWrite.All
    • VirtualEvent.Read.All
    • VirtualEvent.ReadWrite

Without this configuration, a registration may appear successfully in CRM while never reaching the underlying Teams webinar, meaning the attendee does not receive the personalized Teams joining link.

    Practical recommendation

For a first migration, create a test webinar v2 and register with an external test email address. Verify that:

    • The registration is recorded in Customer Insights.
    • The attendee is also listed in the Teams webinar.
    • The confirmation email contains the personalized joining link.
    • The link works for an external attendee.
    • Attendance appears in Customer Insights after the webinar.
    • Cancellation and reminder communications come from the intended system.

Also ensure that the webinar or session is Go live before opening registration. If registrations are received while the underlying Teams event is still in Draft, publishing it later does not automatically transfer those earlier registrations to Teams. Those attendees must be registered again.

Microsoft identifies the older Teams webinar integration as a retiring experience and recommends the modernized Teams webinar v2 integration for future events.
If you would like more detailed guidance, best practices, or assistance with more advanced scenarios, you may also consider posting your question in the Microsoft Dynamics 365 Community.

Teams webinars v2 in Customer Insights - Journeys are intended for large-audience events where a few presenters speak and attendees can react, chat, or answer polls, but attendees can’t share audio, video, or content. They support registrations and up to 1,000 attendees.

If the goal is a friendlier registration experience, the documented pattern in Customer Insights - Journeys is:

    1. Create a new event.
    2. Set Do you want to stream this event to Yes.
    3. Select Teams webinar v2.
    4. Select Open settings to configure meeting options.
    5. Save the event record. Saving creates the Teams meeting.
    6. Build the registration experience using the event registration experience for Customer Insights - Journeys.
    7. After registrations are collected, send registrants an email from the Customer Insights - Journeys email designer using Join in Teams from the Link to menu.

Important behavior differences called out in the documentation:

    • Registrations are managed in Customer Insights - Journeys and are regularly synced to the corresponding Teams webinar.
    • The attendee URL is created when the event is saved, but it should not be shared directly. The recommended method is to send the attendee-specific Join in Teams link by email.
    • That Join in Teams link generates a unique attendee URL for each registrant and is also used to create check-in records for attendance insights.
    • The Teams meeting owner becomes the user who created and saved the webinar in Customer Insights - Journeys, and that owner can’t be changed after creation.
    • Changing the meeting type and saving again cancels the original meeting and generates a new URL.
    • Tenant authentication and permissions must be configured by an administrator before Teams webinars v2 can be used successfully in Customer Insights - Journeys.

If the concern is specifically that native Teams webinars feel more registration-friendly, the available documentation confirms that Customer Insights - Journeys relies on its own event registration experience and email-based attendee join flow rather than the direct Teams registration flow.
