Capturing audio, video, and screen content from Teams meetings for later review or sharing
On Windows 11, there are several Microsoft-supported ways to record and transcribe a meeting, depending on where the meeting happens:
- In Microsoft Teams meetings
- During the meeting, use Teams recording/transcription features.
- If the meeting organizer allows it, recording and transcription can be started in the meeting.
- Organizers can also control who is allowed to record and transcribe by going to Teams > Calendar > select the event > View event > Options > Recording and transcription > Who can record and transcribe.
- For town hall or webinar templates, Record and transcribe automatically is on by default. This can be changed before the meeting in Meeting options > Recording & transcription.
- Recordings and transcripts are saved according to Teams recording storage rules.
- In OneNote on Windows 11
- Open OneNote and make sure the latest version is installed and that Microsoft 365 is signed in.
- Go to Home > ... More commands > Transcribe.
- In the Transcribe pane, select Start recording.
- If prompted, allow microphone access.
- Leave the Transcribe pane open while recording.
- When finished, select Save and transcribe now.
- The recording is saved to the Transcribed Files folder in OneDrive, and the transcript appears after processing.
- For better results, set the correct microphone input. For virtual calls, avoid using a headset if the goal is to capture audio coming from the device.
- In Word on Windows 11
- Sign in to Microsoft 365 and use Microsoft Edge or Chrome.
- Go to Home > Dictate > Transcribe.
- Select Start recording.
- If prompted, allow microphone access in the browser.
- When finished, select Save and transcribe now.
- Recordings are stored in the Transcribed Files folder in OneDrive.
- Word also supports uploading existing audio files in .wav, .mp4, .m4a, .mp3 through Home > Dictate dropdown > Transcribe > Upload audio.
- For non-Teams online meetings on Windows 11
- Microsoft Copilot Notebooks Capture on Windows can transcribe supported third-party meetings such as Zoom, Webex, Google Meet, and browser-based meetings.
- It can start automatically when a supported meeting is detected, or manually from the OneNote system tray icon > New Capture.
- When finished, select Generate to create a Copilot Page with the transcript and insights.
- This feature is currently available only to Office Insiders Beta customers.
For a board meeting, the most direct choice is:
- Teams meeting: use Teams recording/transcription.
- In-person board meeting: use OneNote Transcribe.
- Third-party online board meeting on Windows 11: use Capture on Windows if available.
