Thank you for the clarification. I understand the issue better now: Facilitator is enabled for the recurring meeting, and it works successfully in some occurrences without recording or transcription. However, in the affected occurrences, Teams creates the Loop notes page but Facilitator never posts its initial greeting and does not generate any notes or action items.
Since this is intermittent, I would first check whether the affected meeting instances are being initialized correctly rather than treating this as a transcription issue.
Could you please check the following on one successful occurrence and one failed occurrence?
- Open the affected meeting in Teams and go to Recap > Notes to confirm whether the same Loop notes page is being used across the recurring series.
- Check Meeting options > Copilot and other AI and confirm that Facilitator is enabled for the affected occurrence.
- Confirm that Loop experiences in Teams are enabled for your organization. Facilitator’s AI-generated meeting notes rely on Loop experiences being enabled.
- Check the meeting language. Microsoft notes that the selected language must match the spoken language for AI-generated notes to be generated.
- If possible, test a new, non-recurring scheduled meeting with the same participants and Facilitator enabled. This will help determine whether the issue is specific to the recurring meeting series or occurs more broadly.
Microsoft’s current documentation confirms that Facilitator generates real-time AI notes and stores those notes in a Loop page. It also notes that the selected meeting language must match the spoken language. Please refer to this document: Facilitator in Microsoft Teams meetings
Because your successful meetings demonstrate that Facilitator can work in your environment without recording/transcription, I would not assume that transcription is the root cause here.
If the issue only occurs with this recurring meeting series, please let us know. In that case, the behavior of the recurring meeting/Loop notes instance would be the next area to narrow down.
