Outlook for Mac Legacy search is not finding historical emails after moving Outlook from a 2013 MacBook Pro to a new 2026 MacBook Pro. All the old emails are present and can be opened manually, including emails going back many years, but Outlook Search only reliably finds recent emails from around the migration date onwards. Some search results also show incorrect dates such as 1 January 2001. I need help repairing/rebuilding the Outlook search index without deleting, losing or re-importing any existing emails. There are also two Outlook profiles showing: “Main Profile” and “Profile 2021”. I need help identifying which profile Outlook is currently using before making any changes. Outlook is using IMAP

    Hi Steve7

You can refer to AI’s answer first for the detailed Spotlight indexing and search troubleshooting steps.

Regarding your additional point about Main Profile and Profile 2021, the Microsoft guidance explains how to use Outlook Profile Manager to view the available profile names, but it does not provide a separate documented method there to identify which of multiple profiles is currently being used. Microsoft notes that Main Profile is the default profile name, but with two existing profiles, it is best not to assume that this is necessarily the one containing your current Outlook data.

For that reason, it is best not to delete, rename, or otherwise modify either profile, or remove and re-add the IMAP account, until the profile containing the historical mail has been confirmed.

Since this is a business account (based on your thread's tag), if you cannot confidently determine which profile contains the current Outlook data, please contact your organization’s IT administrator before making profile-level changes. They can also help verify whether the historical IMAP messages remain available on the mail server or whether some of them exist only in the local Outlook profile.

Once the correct profile has been established, you can continue with the Spotlight reindexing guidance in A’s answer using that profile. Microsoft specifically requires the appropriate profile path when running the documented reindexing command.

    I hope this information helps.

One step I can't complete as the Profile Manager doesn't identify which profile Outlook is currently using

Use the Outlook for Mac search repair path first. The documented causes that match this scenario are incomplete or corrupted Spotlight indexing, a profile name with special characters, or the profile folder being excluded from Spotlight.

    1. Identify the profile names Outlook knows about.
      • In macOS, select Go > Applications.
      • Right-click Microsoft Outlook and select Show Package Contents.
      • Open Contents > SharedSupport > Outlook Profile Manager.
      • This shows the profile or identity names, including entries such as Main Profile and Profile 2021.
    2. Check the profile name before changing anything.
      • If the active profile name contains special characters such as /, rename the profile folder to remove those characters.
      • Default profile folder location: /Users/<Username>/Library/Group Containers/UBF8T346G9.Office/Outlook/Outlook 15 Profiles/
    3. If the migration was recent or data was recently added, allow Spotlight indexing to finish.
      • A No Results condition can occur until indexing completes.
      • Since older mail is visible when browsing manually, this strongly points to indexing rather than missing mail.
    4. Run the Outlook search repair utility.
      • The documented first repair step is to run OutlookSearchRepair.
    5. Rebuild the Spotlight index for the Outlook profile if search is still incomplete.
      • Restart the Mac first.
      • Open Finder > Applications > Utilities > Terminal.
      • Run:
             mdimport -L

      • If more than one instance of Microsoft Outlook Spotlight Importer.mdimporter appears, delete the Outlook application that is not being used, empty Trash, restart the Mac, and check again.
    6. Reindex the Outlook database for the profile currently in use.
      • Warning: use the exact profile path. Reindexing is non-destructive, but pointing to the wrong profile will not fix the active mailbox search.
      • Command:
             mdimport -g "/Applications/Microsoft Outlook.app/Contents/Library/Spotlight/Microsoft Outlook Spotlight Importer.mdimporter" -d1 "/Users/<user_name>/Library/Group Containers/UBF8T346G9.Office/Outlook/Outlook 15 Profiles/<my_profile_name>"

      • Replace <user_name> with the macOS account name.
      • Replace <my_profile_name> with the profile identified in Outlook Profile Manager, such as Main Profile or Profile 2021.
      • Reindexing takes time. After it completes, exit Terminal and restart Outlook.
    7. If search still fails after enough time for indexing to complete:
      • Uninstall and reinstall Office for Mac.

    Important points for this case:

    • The available guidance attributes Outlook for Mac search failures to Spotlight indexing, not to Outlook database corruption.
    • The documented way to identify profile names is through Outlook Profile Manager.
    • The context does not provide a separate documented method to confirm which of the two profiles is currently active beyond viewing profiles in Outlook Profile Manager.
    • For Outlook 2016 for Mac, manual database rebuild is no longer available.
