Hello,

We are a company based in Japan and are about to submit a Public Trust identity validation request (Organization) for Artifact Signing.

In the "New organization validation" form, the First Name / Last Name fields ask for "the individual representing the organization" who will complete the individual identity verification with a government-issued ID.

We would like to confirm the following before submitting:

  1. Does this person need to be the legal representative of the company (e.g., the Representative Director registered in the commercial registry), or can it be an employee who is responsible for the application (e.g., an IT or development manager)?
  2. If an employee can perform the verification, will Microsoft require any additional documents to prove that this person is authorized to act on behalf of the organization (e.g., a letter of authorization or proof of employment)?
  3. Our government-issued ID (Japanese My Number Card) shows the name in Japanese characters (kanji). Should the First Name / Last Name in the form be entered in kanji to match the ID, or in romanized form?

We want to avoid having to recreate the request, since the information cannot be changed after submission.

Thank you for your help.

Any authorized individual that your organization deems authorized and responsible to complete this process.

For an Organization identity validation, the form requires the individual representing the organization who will perform the individual identity validation, and the name must match that person’s government-issued identification document exactly.

The documented requirements do not state that this person must be the company’s legal representative, registered director, or equivalent corporate officer. The supported requirement is that this is the person representing the organization for the identity validation process, and that the first and last name entered match that person’s government-issued ID.

For a Japan-based company submitting Public Trust organization validation, Japan is listed as a supported country/region for organizations.
