Configuring preferences and options in Outlook.com
For Outlook, the supported approach is to create an HTML email signature, not a PDF signature.
A PDF is relevant for document signing workflows, but not for an Outlook email signature. If the signature needs clickable icons/links and easy updates, use Outlook’s signature editor and add:
- Text and formatting for the signature body.
- Pictures or logos in the signature.
- Hyperlinks on website text or social icons.
In new Outlook for Windows:
- Go to Settings.
- Select Accounts > Signatures.
- Choose the account.
- Select Add signature.
- Enter and format the signature.
- Choose whether to apply it to new messages and replies/forwards.
- Select Save.
To make icons or website text clickable:
- In the signature, right-click the social icon or highlighted text.
- Select Edit Link or Edit Hyperlink.
- Update the Address box.
- Select OK.
To update the logo or image later without rebuilding the whole signature:
- Right-click the photo in the signature.
- Select Change Picture.
- Choose the replacement image.
- Select Insert.
If the goal is to send a PDF for signature, Microsoft 365 eSignature supports creating a signature request from an unencrypted PDF stored in SharePoint, with recipients, signature fields, initials, and date fields.
