I recommend maintaining your address list in Excel and using Word’s Mail Merge feature to create the labels.
Keep one address in each Excel row. You can then add or delete addresses and sort the list into the required order. When you connect the spreadsheet to a Word label template, Word places the addresses on the labels in the same order as the Excel rows.
In Word, the basic process is:
- Go to Mailings > Start Mail Merge > Labels.
- Select the label manufacturer and product number.
- Choose Select Recipients > Use an Existing List.
- Select your Excel address list.
- Insert an Address Block or individual merge fields in the first label.
- Select Update Labels, then Preview Results.
- Choose Finish & Merge > Edit Individual Documents if you want to review or adjust individual labels before printing.
This avoids having to manually move labels in Word. You manage the addresses and their order in Excel, then generate a new label sheet whenever the list changes.
