Scheduling and managing events using Outlook.com calendar
In new Outlook and Outlook on the web, meeting responses are handled directly on the invitation, but behavior differs from classic Outlook.
For classic Outlook on Windows:
- When a meeting is declined, it is not saved to the calendar and the request moves to Deleted Items.
- There is no option to show declined meetings on the calendar; only accepted or tentative meetings appear.
- To change a declined response, the original request must be opened from Deleted Items and then Accept or Tentative selected.
For new Outlook and Outlook on the web:
- Declined events can be shown or hidden on the calendar using a filter.
- In Calendar, on the View tab, select Filter > Hide declined events to hide them.
- To see declined events again, on the View tab select Hide declined events and uncheck Hide declined events.
When working as a delegate in Outlook on the web (classic experience):
- Meeting requests for the person whose calendar is managed arrive in the delegate’s Inbox.
- The delegate responds from the invitation using Accept, Tentative, or Decline.
- If accepted, the meeting shows as busy on the owner’s calendar, and the organizer sees the response as coming from the delegate on the owner’s behalf.
If invitations are only showing response options after opening them from the calendar, check that the messages are true meeting requests and not updates or informational messages, and ensure they are opened in the full message window, not only in a preview that may hide some actions.
