Using Classic Outlook on Windows for personal email, calendar, and contact management
Use the Deleted Items and Recoverable Items features in Outlook classic to try to restore those missing sent emails.
- Check the Sent Items sync and retention
- In classic Outlook, open the Sent Items folder and scroll to confirm the messages are truly missing for Feb 2025–Feb 2026.
- If the account is using Cached Exchange Mode or IMAP, verify that older sent items are not being trimmed from the local cache:
- Select File > Account Settings > Account Settings.
- Select the email account > Change.
- Check the Mail to keep offline slider and move it to a longer interval so that the full period (Feb 2025–Feb 2026) is included.
- After changing this, allow Outlook time to resync and then recheck Sent Items.
- Look in Deleted Items
- In classic Outlook, select the Deleted Items folder.
- Sort by Folder or From and look for items that were originally in Sent Items (they will show as sent from the mailbox owner).
- If found, move them back:
- Select the items.
- Right‑click > Move > choose Sent Items (or drag them back to Sent Items).
- Recover from the Recoverable Items folder (if they were hard‑deleted)
- If the messages are not in Deleted Items, check the hidden Recoverable Items folder:
- Make sure Outlook is online and connected to the mail server.
- In the folder list, select Deleted Items.
- On the Home tab, select Recover Deleted Items From Server.
- If this command is missing, the account type does not support recovery beyond Deleted Items.
- In the Recover Deleted Items window, sort by Deleted On and/or Subject to help locate the missing sent messages.
- Select the items to restore, choose Restore Selected Items, then OK.
- Restored items will go to Deleted Items; from there, move them back to Sent Items.
- If the messages are not in Deleted Items, check the hidden Recoverable Items folder:
- If the items are not in Recoverable Items
- The administrator may have a retention policy that removes items from Deleted Items and Recoverable Items after a certain period (for example, 30 days in Deleted Items plus an additional recovery window). Once that recovery period has expired, the items may be permanently deleted.
- If the messages are not visible in Recover Deleted Items From Server, contact the email/system administrator to check whether server‑side recovery is still possible. If neither the user nor the administrator can find them, they are likely permanently deleted and cannot be restored.
- Confirm Sent Items saving is enabled (to prevent future loss)
- In classic Outlook, select File > Options > Mail.
- Under Save messages, ensure Save copies of messages in Sent Items folder is checked so future sent mail is stored correctly.
