Outlook App reading pane doesn't show last reply

When I click on a message in my inbox to read through the conversation history, my last reply is collapsed under a View conversation button at the top of the reading pane.

All my previous replies are visible in the reading pane, along with my correspondents messages, in chronological order.

My setting in View/Email/Layout are:

  • How do you want your message list organised = Group messages by branches within conversations (although changing to group messages by conversation doesn't have any effect on this question)
  • What do you want to see in your reading pane = Only the selected message (which counterintuitively shows all message in a conversation or conversation branch, but you have to scroll down as opposed to all messages, which shows all messages but collapsed)

Is this correct?

Often the first thing I want to check is how I replied to someone, e.g. if they call, and I have to either navigate to sent items or click the View conversation button, which I feel I've already set the configuration to do, but its omitting the last message, my reply, from the conversation.

The behavior you're seeing is by design in New Outlook for Windows. When you select a message in your Inbox, the Reading Pane loads that selected item first and keeps related items (like your latest reply from Sent Items) behind the View conversation button or the chevron (>) in the message list.

New Outlook is built around a web-style experience that fetches the full thread (including Sent Items) only when you explicitly expand it via View conversation. Unlike Classic Outlook, it doesn't automatically show your Sent Items inline when you first open a conversation—this is a design choice to optimize initial loading

Your settings are correct

The behavior you're experiencing is expected with your current configuration. The setting at Settings (gear icon) > Mail > Layout > Message organization > "Show email grouped by conversation" is the main conversation-threading toggle in New Outlook's web-style UI. You already have this enabled, so there's no setting you've missed.

What you can do in New Outlook (to reduce clicks)

Here are a few approaches to see your last reply more quickly:

  1. Use the chevron (>) to expand the conversation directly in the message list. This shows the most recent reply inline without opening the full thread view. The main goal is checking your last Sent Items reply, expanding in-place is often faster than opening View conversation.

Pin Sent Items to your folder pane and use a quick search by subject or correspondent to find your last reply directly.

Use Search to locate the specific thread or your last reply by filtering on the subject line or recipient.

Note: In Classic Outlook for Windows, there's a setting (View > Conversation Settings > Show Messages from Other Folders) that automatically includes Sent Items inline with conversations. New Outlook for Windows does not currently offer an equivalent toggle, so expanding the thread or using View conversation are the primary ways to see your replies inline.
