I only want to see working hours on my calendar, and I'm on a PC

I only want to see my calendar (and others) for business hours, maybe 8am to 5pm. I don't want to scroll past 2am to get to our calendars when I'm viewing them. How do I set my view to only show working hours as my default view?

    Hi @Nicole Brennan

    Welcome to Microsoft Q&A forum.

Thank you for reaching out regarding your calendar view preferences. I understand you’d like to display only your working hours (8:00 AM - 5:00 PM) by default and avoid scrolling through early morning or late-night hours.

Based on your description, I’d like to provide the following information:

At present, Outlook does not offer an official option to “hide non-working hours” completely. However, you can configure settings and apply workarounds to make your calendar focus on business hours more effectively.

1/ Grey out non-working hours in Outlook Calendar

Before applying any view changes, ensure Outlook knows your working hours. This does not hide other hours, but it is essential for scheduling and visual cues.

    • In Outlook, go to File > Options > Calendar.
    • Under Work Time, set Start time to 8:00 AM and End time to 5:00 PM.
    • Verify your working days are correct, then click OK.

This will grey out the hours outside of your defined work time, making it easier to focus on your business hours. While these hours will still be visible, they’ll appear less prominent.

2/ Create a custom Calendar View starting at 8:00 AM

Define a custom view that starts at your business hours and save it as default.

    Steps:

    1. Switch to Day or Work Week view and scroll to 8:00 AM.
    2. Go to View > Change View > Manage Views.
    3. Click New, name it (e.g., “Work Hours 8-5”), select Day/Week/Month, and apply to all calendar folders if needed.
    4. Click OK, adjust advanced settings if required, and apply the view.

Outlook will remember this view and open starting at 8:00 AM. Hours before 8:00 remain but are hidden above the scroll area.

3/ (Alternative) Cover off-hours with a recurring appointment
Create a recurring appointment called “Non-working hours” from 5:00 PM to 8:00 AM, and set the status to Out of Office or Busy to apply shading.

    1. Open Outlook Calendar → Click New Appointment.
    2. Enter Subject: Non-working hours
    3. Set Time:
      • Start: 5:00 PM
      • End: 8:00 AM (next day).
    4. Set Recurrence:
      • Click Recurrence → Choose Daily, No end date.
    5. Select Status: Out of Office or Busy (to apply shading).
    6. Save and Close.

Your calendar will show a colored block from 5 PM to 8 AM every day, helping you focus on the 8 AM–5 PM work hours.
Note: This will affect your free/busy availability status.

While Outlook cannot completely hide non-working hours, these steps will help you minimize scrolling and keep your calendar focused on business hours.

    4/ Report via Feedback
