I have just bought a new desktop pc with Windows 11, having trouble with Outlook. I can't see my storage files, and all the emails are moved from inbox to into 'deleted' folder before I get a chance to read them

Dear Ali E,

Thank you for reaching out to the Microsoft Q&A Forum.

I understand that you're having issues with emails moving to Deleted Items and storage file visibility in Outlook on your new Windows 11 PC. Let's us troubleshoot this together.

1. Emails Moving to Deleted Items

The automatic movement of emails is typically caused by a hidden setting or rule.

A. Check the "Ignore Conversation" Feature

If an email thread is accidentally ignored, all subsequent messages are automatically deleted.

  1. Go to the Deleted Items folder.
  2. Select an email that was auto-deleted.
  3. On the Home tab of the ribbon, find and click the Ignore button.
  4. If prompted, select Stop Ignoring Conversation.

B. Review Outlook Rules

Review your active rules, as one may be misconfigured or running in the background.

  1. Go to File -> Info -> Manage Rules & Alerts.
  2. Review every rule and delete or disable any you don't recognize or any that move items to the Deleted Items folder.

C. Verify Junk Settings

  1. Go to the Home tab -> Junk -> Junk E-mail Options.
  2. On the Options tab, ensure the protection level isn't set too high (like Safe Lists Only).
  3. Check the Blocked Senders tab for any unintended addresses.

2. Missing Storage Files

If you can't see your data or files, here's how to locate them and check your quota.

A. Locate Outlook Data Files (.PST/.OST)

  1. Go to File -> Account Settings -> Account Settings...
  2. Click the Data Files tab. This lists all mail files linked to your profile.
  3. If your PST file is missing from this list, click Add... to browse for and connect it. Common locations are:
    • C:\Users\[YourName]\Documents\Outlook Files
    • You can also paste %localappdata%\Microsoft\Outlook into File Explorer.

B. Check Online Storage Quota (For Outlook.com/Microsoft Accounts)

If your cloud storage is full, it can prevent proper mail syncing, making files seem inaccessible.

  1. Go to Outlook.com in a web browser.
  2. Click Settings (gear icon) -> Account -> Storage.
  3. If the quota is full, delete large emails (and empty the Deleted Items folder online) to free up space.

Next Steps

If the above steps do not resolve both issues, the most efficient solution on a new PC is often to remove and re-add your email account.

  1. Go to File -> Account Settings -> Account Settings...
  2. Select the affected account and click Remove.
  3. Click New... to re-add the account, which forces Outlook to establish a clean sync with your mail server.

Please ensure you have your email password readily available before removing the account.

Please let me know the results.
