Viva Amplify - Colors and Fonts

Hi! I am new to using Viva Amplify. We just went through a brand refresh and I need the colors and fonts to be consistent to send emails (and other materials) from Amplify. We have Brand Center enabled on our SharePoint, but the SharePoint site on the backend of the campaign does not show the colors/fonts in our Brand Center. Additionally, when I test other themes that do show up, they don't translate to any changes in Amplify. Please assist!

    Hi, Hannah W._668

    Welcome to the Microsoft Community.

I am sincerely grateful to you for the patience with which we are considering this issue

If you've set the site theme correctly in the SharePoint Brand Center, but the changes (e.g., button colors and fonts) aren't reflected in Microsoft Viva Amplify, there could be several reasons for this behavior. Here’s a breakdown of potential causes and steps to resolve it, based on how Amplify interacts with SharePoint theming and channel-specific rendering.

    • Viva Amplify tailors content for different channels (e.g., SharePoint, Outlook, Teams), and not all theme elements (like button colors or custom fonts) are fully supported or propagated across all channels. For instance, buttons in Amplify publications may render as links in some channels (e.g., Teams or Outlook) with default styling, overriding your theme settings.
    • The Amplify preview might not always reflect the final output accurately, especially for SharePoint publications where the content adopts the target site’s theme only after publishing. If the preview shows outdated colors/fonts, it might not indicate a problem with the theme itself.
    • Custom fonts uploaded to Brand Center may not be supported in email or Teams channels due to platform limitations (e.g., Outlook uses web-safe fonts). This could explain why button colors and fonts don’t change in those contexts.
    • The SharePoint site where the campaign is stored (backend) might have a different theme than the target SharePoint site where the content is published. Amplify uses the target site’s theme for the final rendering, not necessarily the campaign site’s theme.

If the issue remains (e.g., SharePoint output still ignores the theme), contact your Microsoft 365 administrator to open a support ticket via the Admin Center. Provide details: the campaign site URL, theme settings, and a screenshot of the mismatch.

Recent updates (noted around July 2025) indicate Viva Amplify now supports custom themes and fonts from Brand Center, but full consistency across channels is still evolving. The SharePoint channel should reflect the target site’s theme post-publication, while email and Teams have more limitations. If the button color/font issue is critical, focus on SharePoint customization and manual adjustments for other channels.

Let me know if you see specific discrepancies after testing, and I can refine the guidance!

Thank you for your kindness and understanding. If you need anything else, please feel free to contact me.

If this answer helps clarify the current situation, I would sincerely appreciate it if you could mark it as the answer. This will bring this information to the top of the feed, making it easier for other users to search for and reducing confusion for those who may be experiencing the same issue.

Thanks and Have a good day!!!

    Best regards.

What if I've site the site theme correctly, but it's not updated in Amplify? Ex: The button color and fonts haven't changed.

    Hi, Hannah W._668

    Welcome to the Microsoft community.

I am sincerely grateful to you for the patience with which we are considering this issue.

As a new user to Viva Amplify, it's great that you're prioritizing brand consistency—especially after a refresh. Based on how Viva Amplify works with SharePoint (where campaigns are essentially backed by private SharePoint sites for collaboration), the Brand Center integration ensures custom colors and fonts are available across SharePoint experiences, but they don't always apply automatically to every element in Amplify campaigns or publications. Instead, themes need to be explicitly applied to the campaign's backend site, and customizations in publications (like emails) often require manual selection in the editor for channels like Outlook or Teams.

Viva Amplify doesn't have a direct "theme selector" at the campaign level that pulls from Brand Center; it's more tied to the underlying SharePoint site theme for SharePoint-based elements. Other channels (e.g., email in Outlook) adapt formatting to their own standards, which might explain why tested themes aren't translating—changes in the site theme primarily affect SharePoint publications, while email/Teams need channel-specific tweaks.

Here's a step-by-step guide to get your Brand Center colors and fonts showing up and consistent in Amplify. This draws from official Microsoft documentation on setup and troubleshooting:

    • Sign in as a SharePoint admin or brand manager to the Brand Center (go to SharePoint > Settings > Brand Center, or access it via the Microsoft 365 admin center under Settings > Org settings > Brand Center if not enabled yet).

    • Add/Make Colors Visible:
      • In the Brand Center app, select "Add colors."
      • Use the color picker or enter HEX codes for your brand colors (e.g., primary, accents).
      • Name each color and toggle "Visible" to On—this makes them available in theme creation and site pickers.

    • Add/Make Fonts Visible:
      • Select "Add fonts" > Upload your font files (.ttf, .woff, .woff2, .ttf, or .otf formats; .woff2 is recommended for compatibility).
      • Create a font package" by grouping related fonts (e.g., regular, bold variants).
      • Set as default for SharePoint and Viva experiences if desired, and ensure they're toggled to "Visible."

    • Create and Assign Themes:
      • Go to "Apply your brand" > "SharePoint (Font Packages and Themes)" > "Add Theme."
      • Select your custom colors for primary, text, and background slots (ensure they meet accessibility standards via the preview).
      • Choose your custom font package for headings/body.
    • Name the theme (e.g., "Refreshed Brand Theme") and save.

    • Common Fixes Here:
      • If colors/fonts aren't showing in dropdowns: Confirm they're not marked "Hidden," and re-upload if in an unsupported format.
      • Multi-geo tenants: Each geography needs its own Organization Asset Library with Public CDN enabled for fonts to appear.
      • Prerequisites: You need E3/E5 licenses for full font support; global/SharePoint admin role to enable/manage Brand Center.

If issues persist here, check for hub site overrides (if the campaign site is connected to a hub, its theme might be enforced—disconnect temporarily via SharePoint admin center > Active sites).

Next, Apply theme to your Amplify campaign's backend SharePoint site:

    • Find the backend site URL:
    • In Amplify, go to your campaign > Overview > Look for the "Campaign site" or "Open in SharePoint" link.
    • Or, as a SharePoint admin, go to admin center > Active sites > Search for your campaign name (it's listed like any site).
    • Open the site > Gear icon (Settings) > "Change the look" > "Theme."
    • Select your custom theme from the list (it should appear if visible in Brand Center).
    • Save. This adopts the colors and fonts for the site elements, which Amplify pulls from for previews and SharePoint publications.
    • Test: Refresh Amplify and check if colors show in publication editors (e.g., section background picker now has your brand colors).

Next, customize publications in Viva Amplify for consistency:

Create a publication: In your campaign > Publications > + New > Choose blank or template.

    • Title Area: Upload brand logo/image (Browse > Your organization for approved assets). Set alignment, show/hide elements. Background color pulls from site theme.
    • Sections: Add section > Choose layout (1-3 columns or vertical). Select background color—your Brand Center options should appear if the site is applied.
    • Web Parts for Content:
      • Text: Manually select fonts/colors (editor options may include your custom fonts if available via site theme).
      • Image: Upload brand images; add text overlay with color/font choices.
      • Other (e.g., Buttons, Links): Style with colors from the picker.
    • Channel-Specific Customizations (crucial for emails):
    • Preview publication > Select a channel (Outlook for emails, SharePoint, Teams).
    • Click "Customize" for that channel:
      • Outlook (Emails): Edit sender/subject. Fonts sizes/colors adjust automatically to Outlook standards (e.g., highlight colors match Outlook themes), but manually tweak text formatting, tables, or sections in the editor. Section layouts stack to single column; backgrounds render as blue/gray based on darkness. No auto-pull from Brand Center—use color picker to match HEX codes.
      • SharePoint: Edits reflect back to main draft. Adopts the site's theme (colors/fonts) once published. Byline customizable via People web part.
      • Teams: Fonts/colors adjust to Teams styles (e.g., text left-aligned, sizes matched). Announcements get colored banners. Manual edits for post type/replies.
    • Reset to main draft if needed.

    NOTED:

    • SharePoint channel doesn't adapt formatting—uses main draft as-is, but inherits site theme post-publish.
    • Emails/Teams have reduced options (e.g., no image shapes, stacked layouts); previews aren't 100% accurate—send test emails/posts.
    • If custom fonts don't appear, it's likely because Amplify editor limits to web-safe or channel-supported fonts; manual selection or fallback to system fonts may occur.
    • No direct Brand Center "import" button in Amplify; it's via the site theme.
