Managing sound and video settings during Teams meetings and calls for optimal communication
Listening to a Teams voicemail once does not consume or automatically delete it; the recording is an audio attachment in an Exchange email, so locate or recover that mailbox message in Outlook.
Find the recording
- In Teams, open Calls → History → All → Voicemail.
- Select the message and use the playback controls at the bottom of the details pane. Teams supports replaying voicemail; it is not documented as “listen once.” ^1^
- If it is absent there, open Outlook on the web using the same work account.
- Look under Search Folders → Voice mails. Also search all folders for:
- The caller’s name or number
- The date from last week
- Messages from
[Email]
- Open the matching email and play or download its audio attachment.
Cloud Voicemail stores each message in your Exchange mailbox as an email containing the recording and, when enabled, its transcript. Teams and Outlook both access that same mailbox item. ^2^
Recover it if it was deleted
Check Deleted Items and Junk Email in Outlook first. If found, select the message and choose Move → Inbox or another folder.
If it is no longer in Deleted Items:
- New Outlook: Open Deleted Items → Recover items deleted from this folder → Recover, select the voicemail message, and choose Restore.
- Classic Outlook: Open Deleted Items → Home → Recover Deleted Items From Server, select the message, and choose Restore Selected Items.
- Outlook on the web: Open Deleted Items, select Recover items deleted from this folder, and restore the message.
Restored items normally return to Deleted Items, from where they can be moved to another folder. Availability depends on your organization’s mailbox recovery and retention settings. ^3^
If the email exists but its audio is missing
Open the voicemail in Outlook on the web or new Outlook. A resolved classic Outlook issue could hide voicemail audio attachments even though delivery succeeded; updating classic Outlook to build 16.0.20430.2000 or later also resolves that issue. Other documented workarounds are forwarding the message to yourself or opening it and selecting File → Save Attachments. ^4^
If the message cannot be found in Teams, Outlook folders, or Recoverable Items, ask your Microsoft 365 administrator to check whether an Exchange retention rule, mailbox rule, or deletion affected it and whether an administrative recovery remains possible. Teams chat-retention settings are not the relevant control here: Cloud Voicemail is an Exchange mail item with an attachment, and Exchange retention policies can retain or delete mail messages and attachments. ^5^
