Setting up future meetings with participants using Teams calendar or Outlook integration
Common causes depend on how the meeting was created:
- Account type is not supported in Outlook for sending Teams invites
- Scheduling Teams meetings in Outlook is only supported for Microsoft 365 Business Exchange accounts.
- Personal accounts and POP/IMAP accounts such as Gmail, Yahoo, and iCloud are not supported for the Outlook Teams add-in.
- If using Teams for home or small business with an Outlook.com account, the Outlook desktop Teams add-in is not available. In that case, create and send the meeting from the Teams web app or the Teams for home or small business desktop app instead.
- Invitees were not added correctly
- In Teams, open the meeting and add people in Required attendees.
- To invite someone outside the organization, enter the full email address.
- Then select Send update or Send.
- A meeting link can be shared instead of email invites
- Open the meeting in Teams.
- Select Share > Copy join link.
- Paste the link into chat or email.
- If the issue happens in Outlook desktop with a Teams sign-in error
- If the error says: “Sorry, you need to sign out of Teams and sign in again before you can schedule your meeting”, that usually means the Teams Meeting add-in is being used with an unsupported account type such as Outlook.com/personal instead of a Microsoft 365 Exchange work account.
- If the meeting was created in Outlook as a draft
- In new Outlook, Save as draft creates the calendar draft without Teams meeting join details.
- Send the meeting after adding details so the Teams join information is added automatically.
If the goal is to invite several people immediately, the most direct path is:
- In Teams > Calendar, open or create the meeting.
- Add attendees in Required attendees.
- For external people, type each full email address.
- Select Send or Send update.
- If email delivery still fails, use Share > Copy join link and send the link manually.
