I created a Team Meeting but was unable to send the invite to individuals. What is the problem?

    Hi Velma,

Welcome to the Microsoft Q&A forum.

Based on your description, you are unable to send Teams meeting invitations to other users.

Please help me check and try the following steps:

    1. Try using Teams on the web to send the invitation
    • Step 1: Go to teams.cloud.microsoft.
    • Step 2: Select the Teams meeting for which you want to send the invitation.
    • Step 3: Under Required attendees, enter the name or email address of the person you want to invite.

After completing these steps, please check whether you are able to send the invitation successfully.

    1. Try sending the invitation through Outlook instead of Teams

Please try sending the meeting invitation through both the Outlook desktop app and Outlook on the web, and then check whether the invitation can be sent successfully.

    1. Try copying the Teams meeting link and sending it directly to the attendee
    • Step 1: Click on the Teams meeting.
    • Step 2: Select Share > Copy join link, and then send the link directly to the person you want to invite.

Additionally, when you try to send the invitation, do you see any specific error message or error code?

Based on the additional information you provide, I can better assist you in investigating the issue.

I look forward to your response.

Common causes depend on how the meeting was created:

    1. Account type is not supported in Outlook for sending Teams invites
      • Scheduling Teams meetings in Outlook is only supported for Microsoft 365 Business Exchange accounts.
      • Personal accounts and POP/IMAP accounts such as Gmail, Yahoo, and iCloud are not supported for the Outlook Teams add-in.
      • If using Teams for home or small business with an Outlook.com account, the Outlook desktop Teams add-in is not available. In that case, create and send the meeting from the Teams web app or the Teams for home or small business desktop app instead.
    2. Invitees were not added correctly
      • In Teams, open the meeting and add people in Required attendees.
      • To invite someone outside the organization, enter the full email address.
      • Then select Send update or Send.
    3. A meeting link can be shared instead of email invites
      • Open the meeting in Teams.
      • Select Share > Copy join link.
      • Paste the link into chat or email.
    4. If the issue happens in Outlook desktop with a Teams sign-in error
      • If the error says: “Sorry, you need to sign out of Teams and sign in again before you can schedule your meeting”, that usually means the Teams Meeting add-in is being used with an unsupported account type such as Outlook.com/personal instead of a Microsoft 365 Exchange work account.
    5. If the meeting was created in Outlook as a draft
      • In new Outlook, Save as draft creates the calendar draft without Teams meeting join details.
      • Send the meeting after adding details so the Teams join information is added automatically.

If the goal is to invite several people immediately, the most direct path is:

    1. In Teams > Calendar, open or create the meeting.
    2. Add attendees in Required attendees.
    3. For external people, type each full email address.
    4. Select Send or Send update.
    5. If email delivery still fails, use Share > Copy join link and send the link manually.
