To share an Excel file with a co-worker, use one of these supported paths:
- Save or upload the workbook to OneDrive or SharePoint.
- In Excel, select Share.
- Set permissions:
- Allow editing if the co-worker should edit the file, or
- Can view if the file should be read-only.
- Add the co-worker’s name or address and select Send or Share.
If the file is already saved to OneDrive or SharePoint, another path is:
- Open the document.
- Select File > Share > Share with People.
- Enter the recipient.
- Choose Can Edit or Can View.
- Select Share.
If sharing fails, the context supports these common causes to check:
- The file is locked for editing: close the workbook on all devices and wait a few minutes for the server to release the lock. If another person has it open, wait for them to close it, open it read-only, or request more access from Viewing > Request more access.
- Site sharing settings block sharing: in SharePoint Online or OneDrive for Business, the error “Your organization's policies do not allow you to share with these users” means external sharing is turned off. A SharePoint or Microsoft 365 admin must check the organization and site External sharing settings.
- SharePoint/OneDrive server-sharing issue: if the error is “Sorry, we're unable to reach the server right now”, check the site’s access request settings, clear Do not save encrypted pages to disk in Internet Options, and make sure the folder and subfolders do not exceed the 50,000 shared items limit.
- Permission issue: if access is denied, confirm the correct account is signed in. If the file was shared to someone else first, the owner may be the only person allowed to re-share it.
