Using classic Outlook for Windows in business environments
Hi,
Based on your description, the calendar you manage for someone else is a separate/shared or delegated calendar. In classic Outlook for Windows, this type of calendar cannot be selected as the default calendar through File > Account Settings > Account Settings > Data Files.
Microsoft’s documentation explains that the Set as Default option applies to the calendar associated with an Outlook account/data file. This is why your own email account is the only relevant account shown there.
You can review the details here:
- Set default calendar | Microsoft Support
- Open another person’s Exchange Calendar | Microsoft Support
If your main goal is to avoid constantly unchecking your own calendar, you can use the following workaround:
- Open Calendar in Outlook.
- Under My Calendars, clear the checkbox for your own calendar.
- Keep the calendar you manage selected.
- You can also right-click your own calendar and select Close Calendar if you don’t need it displayed.
This will keep the other person’s calendar as the one you are viewing, but it won’t change which calendar Outlook considers the default when you create a new appointment or meeting.
If you need new appointments/meetings to be automatically created on the other person’s calendar, that would be a different requirement, since simply displaying that calendar does not change the default calendar.
