Publisher alternative in 2026

It appears that the previous question was never answered by Microsoft.

I upgraded to Office365 a year ago. This package that I entered into a contract with Microsoft to purchase included MS Publisher.

Either Microsoft needs to keep Publisher alive, or they need to offer a free alternative to MS Publisher that is compatible with all previous MS Publisher files.

    Hi everyone,

    I'm Herman from REF Foundry, based in the Netherlands. I want to share something i built, because a lot of people here are dealing with the same problem.

    On 1 October Microsoft retired Publisher. For many people that isn't just the loss of a program. It's years of work: the club newsletter, the parish bulletin, school certificates, the restaurant menu, the family Christmas letter. All of it is saved as .pub files, and suddenly there is nothing left to open them with. Microsoft's advice is to convert everything to PDF or Word while you still can. But plenty of people only find out when Publisher is already gone, or they have hundreds of files and no time to open them one by one.

    So we built PubRef Lite.

    It's a free Windows app that opens your Publisher files without Publisher and without Microsoft Office. It shows every page as it looked in Publisher and saves it as a PDF. If you have a whole folder, or a whole archive, of .pub files, "Rescue archive" converts everything in one go. It keeps the same folder structure and writes a report of what was saved.

    A few things mattered a lot to us:

    • It has to look right. We didn't want "roughly similar". We measured PubRef against Publisher's own output: in our test with 62 Publisher files, every word landed within 2 mm of where Publisher puts it, on PCs with and without Office installed. When a font from Office is missing, PubRef uses a matching stand-in and tells you which fonts it replaced.
    • Your files stay yours. It's fully offline: no account, no uploads, no cloud, no tracking. Your files never leave your PC.
    • It's actually free. No watermark, no trial period, no subscription.

    What's next: editing your old files again

    A PDF keeps your work safe, but a newsletter is something you want to reuse: change the date, swap a photo, update a few lines and print it again. That's what we're working on now. PubRef Pro, planned for October, adds an editor, so you can:

    • keep using your old Publisher files,
    • change texts and pictures,
    • work from templates,
    • make booklets and label sheets.

    It will be a one-time purchase, with no subscription.

    Microsoft publicly announced on February 15, 2024 that Microsoft Publisher will be retired in October, 2026. Thus, everyone who purchased a subscription to Microsoft 365 after that date knew or should have known that Publisher will be retired.

    There isn’t a direct replacement from Microsoft, but they recommend using Word, PowerPoint, or Microsoft Designer for most layout and design tasks going forward. These tools cover common scenarios like brochures, flyers, and simple marketing materials.

    Publisher will remain available in Office 2021 and older perpetual-license versions even after October 2026, but these versions will not receive updates or new features.

    Some users in the community have mentioned Affinity by Canva as an option for those who need advanced publishing features beyond what Word or PowerPoint provide. This is not a Microsoft product, and it sits outside the Microsoft ecosystem, so whether to explore it depends on your specific requirements.
