I go to HOME--> Find--> and Replace, but the "replace" and "replace all" functions cannot be highlighted and are therefore not working. How do I fix this?

The document might be protected which might prevent you from doing certain actions, or some other document than you think has currently the focus.

First of all, though, double-check that you have actually entered something in the "Find what" box of the Find & Replace dialog box.

    Hi Anne,

In Word, greyed-out Replace buttons usually mean the document can’t be edited right now. Please check the following place:

Documents from email or downloads often open in Protected View, a read-only mode that blocks editing. Look for a yellow bar at the top and click Enable Editing.

If there’s no yellow bar, check the document protection. Go to Review > Restrict Editing and look at the pane on the right. If protection is on, click Stop Protection, which may ask for a password.

Go to File > Info > Protect Document and clear Always Open Read-Only (it may be labelled “Always open view-only”). You can also save a copy and edit that.

If your Microsoft 365 subscription has expired or needs reactivation, Office goes into Reduced Functionality Mode, which disables all editing commands. IRM and admin restrictions can’t be cleared locally, so for those you’d need to check the sensitivity label or permissions applied to the file.

If the rest of the Home tab (Bold, Paste, and so on) is also greyed out, the document is locked and one of the four causes above applies.

If the issue persists after verifying the settings, close Microsoft Word and restart your computer. If the problem continues, perform an Online Repair of your Microsoft Office installation to detect and fix any corrupted program files.

First test Replace in a new blank document; if it works there, remove the original document’s editing restriction, but if it is disabled in every document, diagnose Word in its default startup state and then repair Office.

    1. Determine whether the document is read-only

    1. In Word, select File > New > Blank document.
    2. Type a short sentence.
    3. Press Ctrl+H, complete both Find what and Replace with, and check whether Replace becomes available.

If Replace works in the blank document, the original file is not currently editable:

    • If the upper-right mode menu says Viewing or Reviewing, select it and choose Editing.
    • Go to File > Info > Protect Document. If Always Open Read-Only is selected, select it again to clear that setting.
    • If a Protected View banner appears, select Enable Editing, if available.
    • If editing is controlled by the document owner or your organization, request edit permission; that restriction cannot necessarily be removed locally.^1^
    • For a shared file locked by another desktop user, wait for that user to close it, or use File > Save As and edit a separate copy.^2^

Once the document is editable, the normal sequence is Home > Editing > Replace, enter text in both fields, and then select Replace or Replace All.^3^

    2. If Replace is disabled in every document

Close Word, restart Windows, and test again. This resolved the same symptom in a Microsoft Q&A case; the accepted next step when restarting did not help was an Online Repair.^4^

Before repairing, test Word without automatically loaded add-ins and global templates:

    1. Press Windows+R.
    2. Enter:
         winword /a

    3. Press Enter, create a blank document, and test Ctrl+H.

The /a switch starts Word without automatically loading add-ins or global templates.^5^

If Replace works in this mode, investigate add-ins under File > Options > Add-ins rather than repairing the document.

    3. Repair Office if the problem remains

    Close all Office applications, then:

    • Windows 11: Right-click Start > Installed apps.
    • Windows 10: Right-click Start > Apps and Features.
    • Locate Microsoft 365 or Office, select … > Modify or Modify.
    • Select Online Repair > Repair and complete the prompts.
    • Restart Windows and test Replace in a blank document.

Online Repair repairs the entire Office suite, even when only Word is affected.^6^
