TEAMS Meeting Issues

I have a group set up in Outlook that has members within our company and others outside the company. When I send them a TEAMS meeting invite only about 1/3 of them actually receive it - including many within my organization. Do I have to manually type in every address (75+) every time I host a meeting with this group? Is there some sort of setting that I am missing?

FRUSTRATED!

    Dear Tim,

As a forum moderator, I am not able to access your account or delve into the backend systems to diagnose and fix this for you. My role here is limited to providing general guidance and solutions for users to implement themselves. You should not need to type 75 addresses manually. Outlook can send a Teams meeting invite to a group in one step. When only some people receive it, the cause is usually the group's membership, how members are set up to receive group mail, or delivery to outside addresses. There are two quick things you can check first:

    • In a new meeting invite, add the group, then select the + next to its name to expand it. Check whether the missing people are listed and whether their addresses are correct.
    • Check your inbox for any "undeliverable" messages after sending the invite. They usually explain why a recipient didn't receive it.

If the missing people don't appear after you expand the group, the group membership is out of date. You can update your Outlook contact group yourself or ask your Microsoft 365 administrator to update the group if it's managed centrally.

If everyone appears but only some people receive the invite, your administrator can run a message trace in the Exchange admin center under Mail flow > Message trace. They can search with you as the sender and one missing attendee as the recipient. The results show whether the invite was delivered, rejected, deferred or filtered. Recent messages usually appear in the results within 5 to 10 minutes.

If the group is a Microsoft 365 Group (it shows under Groups in the Outlook folder pane), members only get invites in their own inbox if they follow the group. Members who don't follow it will only see the meeting on the group calendar.

I hope this helps. Looking forward to your reply.
