    Hi Mohamed,

Thank you for sharing your concern.

If your current email address ends with onmicrosoft.com, the existing domain name generally cannot be edited directly. To use a shorter address such as ******@companyname.com, you will need to own the custom domain and add it to your Microsoft 365 account.

If you already own the domain, a Microsoft 365 administrator can:

    1. Sign in to the Microsoft 365 Admin Center.
    2. Go to Settings > Domains.
    3. Select Add domain and follow the prompts to verify the domain.
    4. After the domain is set up, go to Users > Active users.
    5. Select the affected user and change the username and primary email address to the new domain.

Kindly note that changing the primary email address may also change the username used to sign in to Microsoft 365. The original address can usually be retained as an alias so that messages sent to it will continue to arrive.

If you do not yet own the preferred domain, you will first need to purchase it from a domain registrar before adding it to Microsoft 365.

To use a shorter address such as [Email], your organization must own that domain, add and verify it in Microsoft 365, and then assign it to your account; the original company.onmicrosoft.com domain cannot simply be edited or renamed.^1^

If you are the Microsoft 365 administrator

    1. Obtain the desired domain
      • Your organization must own companyname.com.
      • The word “Microsoft” cannot be removed from an onmicrosoft.com address to create companyname.com; these are separate domains.
    2. Add the custom domain
      • Open Microsoft 365 admin center.
      • Go to Settings → Domains → Add domain.
      • Enter companyname.com, select Use this domain, and complete ownership verification.
      • Authorize the DNS records through your domain registrar, or add them manually if Domain Connect is unavailable.^2^
Adding or modifying domains requires the Domain Name Administrator role on a Microsoft 365 business or enterprise plan; regular users cannot do this.^2^
    3. Assign the new address to your user
      • Go to Users → Active users.
      • Select your account.
      • On Account, select Manage username and email.
      • Choose the new domain in the Domains list and enter the desired username.
      • Select Done.^3^
This step requires the User Administrator role. Afterward, sign out of Teams and other Microsoft 365 applications and sign back in with the new address.
    4. Configure email, if required
      • To send and receive email through the custom domain, the account needs an Exchange license.^4^
      • Before changing the domain’s MX record, create Microsoft 365 users and mailboxes for everyone currently receiving mail at that domain. Updating the MX record sends all new email for the domain to Microsoft 365.^5^

If you are not an administrator

This cannot be changed from Teams or your personal profile. Ask your organization’s Microsoft 365 administrator to:

    • Add and verify companyname.com.
    • Change your username and email domain under Users → Active users.
    • Update the display name separately if the issue is only how your name appears in Teams.

The existing onmicrosoft.com domain remains in the tenant for background use, but you do not need to keep using it as your visible business email address.^1^
