Good morning,

I need some assistance with PowerPoint. I am currently taking a Microsoft Office course in college, and I am required to complete several projects using PowerPoint. However, I have noticed that my version of PowerPoint offers significantly fewer theme options than the Microsoft Office application provided by the college.

Could you please let me know if I am using an outdated version of PowerPoint?

Thank you for your assistance!

What version of Office do you have, do you pay a subscription for Microsoft 365 or are you using a standalone version of Office like Office 2024 home.

Open PowerPoint, then go to File - Account, if you use Microsoft 365 or Office Home 2024, from there, you can update your Office to the latest version of Office.

If your themes vary from the instructions you see in the course, it may be that the course was written for an older version of Office, this is a common problem, it would be best to contact whoever is running the course to ask them what version of Office they expect the students to use for the course.

The number of themes alone does not show whether PowerPoint is outdated; first identify your exact Office product and build, then check the complete theme gallery and update availability.

    1. Identify your PowerPoint version

    On your Windows PC:

    1. Open PowerPoint.
    2. Select File → Account. If Account is unavailable, select File → Help.
    3. Under Product Information, note:
      • The product name, such as Microsoft 365, Office Home and Student 2021, or Office 2016.
      • The version and build number.
    4. Select About PowerPoint for the complete version and whether it is 32-bit or 64-bit. ^1^

Those details are needed to determine whether the installation is old. If you post them in a reply, omit your email address and license key.

The ribbon initially displays only part of the available gallery:

    1. Open a presentation.
    2. Select Design.
    3. In the Themes group, select the More/Themes button to expand the entire gallery.
    4. Look under Office for the built-in themes.
    5. To use a downloaded or college-provided theme, select Browse for Themes and open its theme or presentation file. ^2^

Also check File → New. What appears there may be templates, not themes. A theme is a set of colors, fonts, and effects; a template combines a theme with layouts and sample content. Microsoft provides additional PowerPoint templates online. ^3^

    3. Update PowerPoint if you have Microsoft 365 or a supported desktop edition

    1. Go to File → Account.
    2. Under Product Information, select Update Options → Update Now.
    3. If shown, select Enable Updates first.
    4. Wait for either You’re up to date or Updates were installed. ^4^

If Update Options is missing and only About appears, the installation may use volume licensing or centrally managed updates. For a personally owned installation, check Windows Update; for a college-managed installation, contact the college help desk.

Why the college installation may look different

    The college may be using:

    • A newer Microsoft 365 desktop build.
    • College-specific templates distributed only to school accounts.
    • A different PowerPoint edition or update configuration.
    • The desktop application while you are using PowerPoint for the web.

PowerPoint for the web includes built-in themes and variants, but it cannot modify themes and does not provide the desktop app’s advanced design features. ^5^

If your course requires a particular college theme, sign in with your college account and check File → New for an organizational template section, or ask the instructor to provide the required .potx, .thmx, or example presentation file. Updating PowerPoint will not automatically add templates that belong specifically to the college.
