Sending, receiving, and organizing email in Outlook.com
Search the Outlook.com web mailbox across all folders first; if the pre-2008 messages are absent there, check deleted-item recovery and old local Outlook archives, then ask Outlook.com Support to investigate the server-side mailbox.
1. Search the server mailbox
On a PC or Mac, sign in to Outlook.com using the Hotmail address:
- Search for a known sender, subject, or phrase from an old message.
- Set the search scope to All folders.
- Select Filter → All to remove any current filter.
- Check Archive, Other, Deleted Items, Junk Email, and any personal folders.
The Hotmail address continuing under Outlook.com does not by itself establish that the messages were deleted during the transition. Search is also useful when a folder is missing or renamed because messages inside it may remain searchable.^1^
Microsoft’s missing-mail guidance specifically recommends checking filters, Archive, rules, Other, Deleted Items, and Junk Email.^2^
2. Check deleted-item recovery
Using a computer rather than a mobile browser:
- Open Deleted Items.
- Above the message list, select Recover items deleted from this folder.
- Search the available items and select Restore for anything found.
For Outlook.com, messages removed from Deleted Items remain recoverable for only 30 days. Junk Email is also removed after 30 days. Consequently, messages deleted years ago will not normally appear in this recovery area.^2^
3. Check old computers and backups
If the messages are absent online, they may have been downloaded and retained locally by an older email program:
- On any computer previously running classic Outlook, open File → Open & Export → Open Outlook Data File, then look for old
.pstarchive or backup files. - Search old computers, external drives, and backups for
.pstfiles. - Check any older phone or mail application that accessed this account.
- In Outlook.com, review Settings → Mail → Forwarding and IMAP. If POP was used historically, an older program may have downloaded messages and removed them from the server; inspect that device before changing its configuration.^3^
If messages exist in Outlook.com but not in a desktop application, that is a synchronization issue rather than server-side loss. In classic Outlook, set File → Account Settings → Account Settings → double-click the account → Mail to keep offline → All, restart Outlook, and wait until it reports All folders are up to date.^4^
4. Escalate if the messages are absent everywhere
In Outlook.com, select Help, enter a description such as “Hotmail messages before 2008 missing from the web mailbox,” complete the suggested troubleshooting, and then select Still need help? → Yes. Include:
- The approximate missing date range.
- Whether search was set to All folders.
- Whether the messages appear in Recoverable Items or any old
.pstfile. - Approximately when the messages were last visible.
Only Outlook.com Support can investigate the server-side mailbox; community forums cannot inspect or restore mailbox data.^3^ If Support confirms that the messages are no longer on the server and they are outside the recovery window, retrieval will require an old local archive, device, forwarded copy, or backup.
