If the site owner added a user as a member but the documents still do not appear, check permissions at both the site level and the item level.
- Verify the user’s effective permissions on the site.
- In SharePoint, go to Settings > Site permissions.
- Use Check Permissions.
- Enter the user name and select Check Now.
- Confirm whether the user actually has the expected access.
- Confirm the correct permission level.
- Site visitors = Read only.
- Site members = Contribute.
- Site owners = Full Control. If the user can access the site but not see or work with documents as expected, the assigned permission level may not match what is needed.
- Check whether the library, folder, or file has unique permissions. SharePoint permissions are inherited by default from the parent site, but libraries, folders, and files can have unique permissions. A user can be a site member and still be blocked from specific documents if those items have separate permissions.
- If SharePoint shows Access Denied or You need permission, remove and re-grant access.
Microsoft’s documented manual fix is:
- Remove the user from the site.
- Grant the user permissions again to the site or specific file.
- If the issue is only with specific shared files, confirm the file was shared correctly. A user may need explicit permission to the file or folder even if site membership was changed later.
- If the site is a private channel site connected to Microsoft Teams, membership must be managed in Teams, not directly in SharePoint. In that case, SharePoint permissions can appear read-only, and members must be added from the private channel in Microsoft Teams.
If the user can open the site but not see certain documents, the most likely cause is unique permissions on that library, folder, or file. If the user cannot access the site at all, use Check Permissions first, then remove and re-add access if needed.
