    Hi, Barbara Falduto

Sorry you’re unable to get into your email on either device. If sign-in asks for approval through Microsoft Authenticator, the new phone may still need its verification setup completed.

Here are some suggestions you can try:

If you still have your old phone, keep it available and use its Authenticator app to approve your sign-in. Don’t erase it until access works on the new phone. Restoring Authenticator does not automatically finish setup for work or school accounts.

If the old phone is unavailable, select Sign in another way, if shown. Use a previously registered verification method, such as a text message or phone call. For a work or school account with no usable alternative, it is recommended that you contact your IT team to help register a new verification method.

If there’s no verification prompt, install any available Outlook updates on both devices. Outdated software can cause connection problems.

For Outlook.com on a new iPhone, start with the iPhone account setup because the documented issue commonly requires signing in again.

    1. On the iPhone, open Settings > Mail > Accounts.
    2. Tap the Outlook account.
    3. If it shows Account not authenticated, open Account Settings or tap the Password field.
    4. Enter the current password.
    5. Tap Done.
    6. Open the Mail app and confirm mail is syncing and sending/receiving.

If the iPhone Mail app keeps prompting for a password or shows connection errors, remove the account and add it back as Outlook.com:

    1. Go to Settings > Mail > Accounts.
    2. Tap the Outlook account and choose Delete Account.
    3. Go back to Settings > Mail > Accounts > Add Account.
    4. Choose Outlook.com and sign in again.

If removing and re-adding does not fix it:

    1. Remove the account again.
    2. Go to Settings > Safari > Clear History and Website Data.
    3. Reboot the iPhone.
    4. Add the account back and complete the Outlook.com sign-in flow.

For the MacBook Air, first verify Outlook for Mac is online:

    1. Open Outlook for Mac.
    2. On the Outlook menu, make sure Work Offline is not checked.
    3. Go to Tools > Accounts.
    4. Check the Exchange account status in the left pane. An orange indicator means there is a connection problem.

If mail works on the computer in a browser but not in the app, the issue may be with the app configuration. If the account was syncing before and stopped, removing the sync partnership and re-adding the account is the documented next step.

If the sign-in error says “That password is incorrect for your Microsoft account” or “You’ve tried to sign in too many times with an incorrect account or password,” recover the account first, then sign in again.
