To scan a document in Windows 11 and then email it, first scan the document to a file, then attach that file to an email.
- Turn on the scanner and make sure it is connected to the Windows 11 device.
- On the Windows device, right-click the Start menu and select Search.
- In the Type here to search box, type:
Windows Scan. - In the search results under Apps, select Scan.
- If the Scan app does not appear, install the Windows Scan app from Microsoft Store using this link: Windows Scan.
- Place the document in the scanner:
- For a flatbed scanner: place the document face down on the flatbed and close the cover.
- For a document feeder: place the document in the feeder as described in the scanner’s documentation (face up or face down as required).
- In the Scan app:
- In Scanner, select the correct scanner.
- In Source, select Flatbed, Feeder, or Auto-configured (usually Auto-configured is fine, but it should match how the document was placed).
- In File type, choose the desired format (for emailing, JPEG or PDF is commonly used; available options here are JPEG, PNG, TIFF, Bitmap).
- Select Show more and under Save file to, choose the folder where the scan should be saved, then select Select Folder.
- Select Scan at the bottom of the app to scan the document.
- When the scan completes, it is automatically saved in the selected folder (if no folder was selected, it is saved by default to Pictures/Scans in the user folder).
- Open File Explorer, browse to the folder where the scan was saved, and confirm the scanned file is there.
- Open the email application or webmail, create a new email, and use the Attach or Insert file option to attach the scanned file from the folder where it was saved.
- Enter the recipient’s email address and subject, then send the email.
