Using classic Outlook for Windows in business environments

Regarding the Outlook search issue, Microsoft has documented that POP and IMAP accounts primarily rely on the local Windows Search service to index email.
As an additional troubleshooting step, I recommend following this article Outlook Search might not display recent emails on Windows 11 and trying the temporary workaround to disable Windows Desktop Search for Outlook. This causes Outlook to use its built-in search instead and can help determine whether Windows Search is contributing to the issue. Please note that this workaround requires a registry change, so I recommend backing up the registry before proceeding.
Additionally, as explained in What is the difference between POP and IMAP?, POP3 is an older protocol designed primarily for use on one computer and supports one-way email synchronization. As a result, POP3 does have several functional limitations compared with more modern synchronization methods, particularly around synchronization across multiple devices.
