I tried to set up a teams meeting. There was no way to invite others with RSVP requirement. After I started the meeting I was unable to find the share screen on the menu. I had to email me documents to another participant who had share screen. I have Office 365. Do I need to pay for Teams to get all the options.

    Hi Carol,

Regarding your concern, you don't need to pay separately for Teams to invite attendees or share your screen. Screen sharing is available even in Microsoft Teams Free.

During the meeting, look for the Share button, usually shown as a rectangle with an upward arrow. If it is missing, please check:

    • Are you signed in with the correct account that organized the meeting?
    • Is your role Presenter or Attendee, since attendees may be prevented from sharing?

That said, for the best possible assistance, can you confirm which Microsoft 365 subscription you have, which device/app you used (Windows, Mac, iPad, iPhone, or Android), and whether you joined through the Teams app or a web browser? That will help me clearly understand the situation and provide accurate guidance for your concern.

Should you have any other questions, please feel free to share them in the comments on this post. I'm happy to assist you further.

In Microsoft Teams Free, Share screen is available, and the control appears in the meeting controls as Share. On mobile, the share options can include Share photo, Share video, or Share screen. On desktop, Share is listed directly in the meeting controls.

For scheduling, Teams Free lets a meeting organizer create a scheduled meeting, add participants, share the invite, and copy the meeting link. The available scheduling details in the provided guidance include title, participants, all-day or start/end time, repeat, location, and description.

For meeting options, there is a feature difference between Teams Free and Microsoft 365 Personal, Family, or Premium subscription with a Teams personal account:

    • Share screen: available in Teams Free and subscription plans
    • Allow chat: not available in Teams Free; available with subscription
    • Allow participants to unmute: not available in Teams Free; available with subscription
    • Allow participants to turn on camera: not available in Teams Free; available with subscription
    • Allow reactions: not available in Teams Free; available with subscription

If the Share button did not appear during the meeting, check whether the account was in the correct meeting role:

    1. Open the meeting’s Meeting options.
    2. Verify Who can present.
    3. If the account is an attendee, screen sharing is not available.
    4. If the account is the organizer or a presenter, screen sharing is allowed.

    Relevant role behavior:

    • Organizer can set meeting options and share their screen.
    • Presenter can share their screen.
    • Attendee can join, use audio/video, chat, and raise a hand, but screen sharing is listed for presenters only.

Based on the available guidance, paying for a qualifying Microsoft 365 Personal, Family, or Premium subscription adds some meeting controls, but screen sharing itself is already supported in Teams Free. The missing share option is more consistent with meeting role or meeting setup than with screen sharing being paywalled.
