Possible ways to reduce the amount of data in Power BI Report Builder:
- Filter the dataset in Report Builder Add a dataset filter so only matching rows are used by all data regions in the report. A dataset filter uses a filter expression, operator, and comparison value, and the data types must match. Dataset filters can’t filter on aggregate values.
- Filter earlier in the query Limit data in the dataset query to only what the report needs. Use query variables so report users can choose which data to see. For shared datasets, use filters based on report parameters.
- Use report parameters to reduce returned data Parameters are useful for user-driven filtering. In paginated reports, a parameter can’t be both Multivalue and Allow null at the same time, though Multivalue can be combined with Allow blank.
- Only include needed columns and rows
Reduce both:
- Columns that aren’t needed for reporting, relationships, calculations, security, or formatting
- Rows that aren’t needed, such as unnecessary history or entities
- Group in the report when appropriate For intermediate amounts of data, grouping in the report instead of the query can help shape the output to what is actually needed. For large chart or matrix summaries, there’s no need to include detail data if only aggregated values are required.
- Apply group filters To limit data displayed or used in calculations for detail or group data, set filters on the group.
- For map reports, filter non-spatial fields If a map exceeds spatial element limits, set a dataset filter on a field that is not a spatial data type, reduce resolution, reduce the viewed area, or change the query to limit the spatial area.
- If using the paginated report visual, stay below its reduction limit The paginated report visual has a built-in 30,000-value data reduction limit. If a field used in the visual has more than 30,000 values, rows above the limit can be dropped. To work around this, filter out unnecessary values or map parameters to fields with fewer values.
