word wrap issues in Word outline mode

I am printing a document that is in Outline format. On some lines the letters are all squished together, as in no spaces between words in the sentence. Some lines are OK some lines have no spaces between words. Is this some word-wrap issue in outlining mode?

This is not normally a word-wrap effect; switch to Print Layout, inspect the affected text in Print Preview, and then correct either its character formatting or the printer path depending on where the spaces disappear.

    1. Determine whether Word or the printer changes the text

    1. Select View > Print Layout. Outline view is intended for organizing document structure rather than judging final page appearance; some formatting and graphic content is not displayed there.^1^
    2. Select File > Print and enlarge the preview with the zoom slider.^2^
    3. Examine one of the affected lines:
      • Spaces are missing in the preview: investigate the document formatting using the next section.
      • Preview is correct but paper output is compressed: skip to the printer checks.
      • Print Layout and the printed page are correct: the effect is limited to Outline view; edit in Outline view if useful, but use Print Layout to assess final formatting.

    2. If the spaces are missing in Print Preview

Turn on formatting marks with Home > Paragraph > Show/Hide ¶. Normal spaces appear as dots, while tabs appear as arrows. Word can also show them permanently under File > Options > Display.^3^

Compare a faulty line with a correct line:

    • No dots appear between the words: the spaces are genuinely absent. Insert them or replace that text from a clean source.
    • Dots appear, but text remains compressed: reset character spacing:
      1. Select only the affected text.
      2. Open Home > Font dialog box launcher.
      3. Select Advanced.
      4. Set Spacing to Normal.
      5. Set Scale to 100%.
      6. Temporarily clear Kerning for fonts, then select OK.

Word’s Condensed spacing and scale values below 100% compress selected text, so inconsistent settings can affect some lines without affecting the rest of the document.^4^

If the affected paragraphs use a different style, correct that style rather than repairing each line separately: Home > Styles, right-click the affected style, select Modify > Format > Font > Advanced, and restore the same spacing settings.

    3. If only the physical printout is wrong

A correct Print Preview indicates that the document’s layout is being produced correctly before it reaches the printer. Test the output path:

    1. In File > Print, verify the intended printer is selected and its status is Ready.
    2. Confirm the paper size, orientation, and layout match the document.
    3. Print another Word file and a simple file from Notepad.
    4. Print this document to PDF:
      • If the PDF is correct, update the physical printer’s driver.
      • If the PDF also has compressed text, run a Microsoft 365 repair.

For Windows 11, Office repair is under Start > Settings > Apps > Installed apps > Microsoft 365 > Advanced options > Quick Repair; use Online Repair only if Quick Repair does not help. Microsoft also recommends updating or reinstalling the printer driver when output remains incorrect.^5^

If only this document is affected after resetting the text formatting, copy a few faulty and correct paragraphs into a new blank document and check its Print Preview. That distinguishes formatting stored in the original document from an application-wide or printer-wide problem.

    Hi, @Jim White

To help narrow down the issue:

    1. Do the affected lines also appear squished together on screen, or does this happen only when printing?
    2. Does the same issue occur when you switch from Outline view to Print Layout view?

In the meantime, try saving or exporting the document as a PDF. Open the PDF and check whether the affected lines still appear without spaces.

    • If the PDF looks correct, try printing directly from the PDF.
    • If the PDF also shows the same issue, it may be related to the document's formatting, such as character spacing or paragraph alignment.

    Hi Jim,

I'm unsure what you mean by "Outline format" but suspect that you mean Outline View.

What happens if you try to print in Print view?

    How about in Draft view?

When you are in Outline view, do things appear properly on the screen? If you do try to print, what shows on the screen in Print Preview?

What happens if you use Microsoft Print to PDF?

Outline view is really for organizing headings rather than checking how a page will print, so I would switch to Print Layout first and check Print Preview. If the words still look squished there, I would select the affected lines and clear any condensed character spacing, as that is a common cause when only some lines are affected. If Print Preview looks fine, printing to PDF is a quick way to tell whether the issue is in the document or with the printer.
