Managing meetings and events using Outlook on the web for business
Check these Bookings settings first:
- In Bookings > Staff > [staff member], make sure Events on Microsoft 365 calendar affect availability is turned on.
- This setting makes Bookings use the staff member’s free/busy information.
- It is turned on by default and is recommended to avoid double-bookings.
- If the issue is a sync error such as “This staff member’s calendar can’t be synced”, the staff member must share their calendar:
- Sign in to Microsoft 365 and open Outlook.
- Select Share > Calendar.
- Under People inside your organization, set My Organization to Can view when I’m busy.
- Select Done.
- In the staff member record, confirm Events on calendar affect availability remains checked after saving.
- If the service is assigned to multiple staff members, Bookings can still show the time as bookable when another assigned staff member is available. In that case, Bookings is checking the service’s assigned staff, not only one calendar.
- If availability still looks wrong, verify whether the event is on the primary Outlook/Microsoft 365 calendar that Bookings is syncing and whether the event is marked as busy. Bookings availability depends on calendar free/busy information.
If the goal is to block time for a specific person, ensure the service assignment and staff availability settings match that expectation.
