Storing documents locally or in cloud services like OneDrive from within Microsoft Teams
Hi Tina,
Thank you for sharing your concern.
If you are referring to an updated file stored in an existing Microsoft Teams channel, you should replace or update the existing file rather than create a new file. Simply giving the updated file the same name may not be enough, as Teams may upload it as a separate copy or automatically add a number to the filename.
To keep the existing access permissions, sharing link, and version history:
- Go to the channel and open the Files tab.
- Select Open in SharePoint.
- Locate the existing file.
- Open the file and update its content directly. Alternatively, use the available replace or upload-new-version option for that existing file.
Because the file remains in the same location, its existing access permissions should remain unchanged. However, avoid deleting the original file and uploading a new one, since doing so may create a new item with a different link or sharing configuration.
If you are referring to the channel itself rather than a file, renaming or creating another channel with the same name will not transfer the original channel’s permissions, conversations, files, or links. In that situation, you should continue using the existing channel and update its contents or settings instead.
I hope this information is helpful. Should you have any further questions or need additional assistance, please feel free to share them in the comment below. I'm very happy to help.
