Using Outlook for Android in educational settings for communication and organization
Configure forwarding directly in Outlook.com rather than reconnecting the Outlook account inside Gmail; this server-side method sends new Outlook.com messages to Gmail without Gmail repeatedly signing in to the mailbox.
Set up Outlook.com forwarding
Since the previous Gmail connection was unlinked, leave it disconnected and use a computer browser:
- Sign in to Outlook.com with the personal Outlook.com/Hotmail/Live account.
- Select Settings (gear icon).
- Go to Mail → Forwarding and IMAP.
- Complete the Microsoft sign-in or Authenticator approval if requested. These settings remain unavailable until authentication completes.
- Select Enable forwarding.
- Enter the full Gmail address.
- Optionally select Keep a copy of forwarded messages to retain messages in the Outlook.com inbox.
- Select Save. ^1^
Send a test message from a third address to the Outlook.com address, then check both the Gmail inbox and Spam folder.
Microsoft may require two-step verification to be enabled when forwarding is activated. If it is already enabled, Outlook.com can request another identity verification while opening the forwarding settings. ^2^
Important behavior
Messages delivered this way appear as forwarded by the Outlook.com account. Consequently, selecting Reply in Gmail normally addresses the Outlook.com account rather than the original sender. A redirect rule is needed if replies must go directly to the original sender. ^2^
If Outlook.com itself still reports “Authentication error occurred”
The earlier error came from the Gmail-linked-account flow, so first test the forwarding setup directly on Outlook.com as described above. If authentication also fails there:
- Open Outlook.com in a private/incognito browser window and sign in directly.
- Approve only the newest Authenticator notification and verify that the account shown is the correct Outlook.com account.
- If the forwarding page remains inaccessible, select Help in Outlook.com, enter the authentication problem, and then choose Still need help? → Yes to contact Outlook.com support. Microsoft provides this escalation path when the forwarding steps fail or sign-in is unavailable. ^2^
