Using the New Outlook for Mac features in business environments

Thank you for your question regarding archiving an entire mailbox in New Outlook for Mac.
After reviewing the available options, I would like to clarify that New Outlook for Mac currently does not provide a feature to export an entire mailbox, including all folders and their contents, to a local .olm archive file. The .olm export functionality is only available in Legacy Outlook for Mac.
For Microsoft 365 business accounts, the recommended approach is to use an Online Archive mailbox if it is available in your organization. Please try the following steps:
- Contact your IT administrator and ask them to enable an Online Archive mailbox for your account.
- Once enabled, restart Outlook for Mac.
- Expand the Online Archive mailbox in the folder pane.
- Move the messages you wish to retain into the Online Archive. Your administrator can also configure archive or retention policies to automatically move older messages based on your organization's requirements.
Please note that the standard Archive button in Outlook only moves selected messages to the mailbox's Archive folder. It does not create a separate backup file and does not archive the entire mailbox structure.
