How to sync email, contacts, and calendars with windows 11 pro and iphone

I reset my desktop, reinstalled Windows 11 Home and upgraded to Windows 11 Pro. What is the best way to sync emails, contacts and calendars between Outlook and iPhone. My contacts are practically all in iCloud. Previously I used iCloud for Windows with Classic Outlook which worked well. With new Outlook my iCloud contacts and calendar are available with my icloud.com email but I rarely use that email. In Outlook Classic, I could add the iCloud contacts as an address book and access with my other email addresses. I can't find a way to do that in new Outlook.

Use Classic Outlook with iCloud for Windows if you need your iCloud contacts and calendars synchronized with the iPhone and available as an address book while composing from your other email accounts.

New Outlook for Windows can add an iCloud account, but Microsoft’s documented Microsoft Cloud synchronization support on Windows currently lists Gmail and Yahoo—not iCloud—for contacts and calendar capabilities. Consequently, it does not provide the same cross-account iCloud address-book integration you previously had in Classic Outlook.^1^

    1. Open Classic Outlook
      • If new Outlook is open, use its New Outlook toggle to return to Classic Outlook.
      • Keep new Outlook installed if desired, but use Classic Outlook for the iCloud integration.
    2. Install and configure iCloud for Windows
      • Install iCloud for Windows from the Microsoft Store.
      • Open it and sign in with the same Apple Account used by the iPhone.
      • Select Contacts and Calendars, and then select Apply.
      • Open Classic Outlook after setup finishes.
Microsoft documents this as the supported method for synchronizing iCloud contacts and calendars between an iOS device and Outlook.^2^
    3. Expose iCloud Contacts as an Outlook address book
      • In Classic Outlook, open People.
      • Right-click the iCloud Contacts folder and select Properties.
      • Open the Outlook Address Book tab.
      • Enable Show this folder as an e-mail Address Book.
      • Select OK, close Outlook, and reopen it.
      • Start a message from any configured email account and select To; choose iCloud Contacts from the address-book list.^3^
    4. Optionally make iCloud Contacts the default lookup list
      • In Classic Outlook, select Home > Address Book.
      • In the Address Book window, select Tools > Options.
      • Under Show this address list first, select iCloud Contacts.
      • Select OK.^3^

This does not require using the iCloud email address to send messages. The iCloud Contacts folder is an address book that Classic Outlook can use while composing from your other configured accounts.

    Email setup

Add each email account you normally use separately through Classic Outlook > File > Add Account. Add the iCloud mailbox only if you also want to read or send iCloud email in Outlook; calendar/contact synchronization through iCloud for Windows is separate from adding iCloud Mail as a mailbox.^4^

If you add iCloud Mail and Classic Outlook rejects the normal Apple Account password:

    1. Generate an app-specific password under the Apple Account’s Sign-In and Security > App-Specific Passwords.
    2. Return to File > Add Account in Classic Outlook.
    3. Enter the iCloud email address and use that app-specific password when prompted.^5^

If the address-book option is missing

If iCloud Contacts > Properties has no Outlook Address Book tab, Classic Outlook cannot expose that particular folder as an address book. The documented workaround is to create a Contacts folder in Outlook, enable Show this folder as an e-mail Address Book, and copy the required contacts into it.^3^

That workaround creates a separate copy, so changes may not retain the same two-way iCloud synchronization. Prefer the native iCloud Contacts folder whenever its address-book option is available.

    Hi David D,

The key difference is that new Outlook does not currently offer the same iCloud Contacts address-book integration that you used in Classic Outlook. Although your iCloud contacts and calendar can appear with the iCloud account, they cannot currently be exposed as a separate address book for your other accounts in the same way.

As the Classic Outlook approach has already been provided, there isn't another equivalent setting to enable in new Outlook. If staying with new Outlook is important, I suggest submitting feedback from Help > Feedback requesting cross-account access to iCloud contacts.

Hopefully this clarifies the current options and helps you choose the setup that works best for you.
