Using New Outlook on Windows for personal email, calendar, and contact management
New Outlook for Windows does not provide a direct calendar-to-Excel export, so publish the calendar as an ICS file, convert that file to XLSX, and then save it as CSV if needed.^1^
1. Export the calendar as an ICS file
- In new Outlook, select Calendar in the navigation pane.
- Select View → Calendar settings.
- Go to Calendar → Shared calendars.
- Under Publish a calendar:
- Select the calendar.
- Choose the highest detail level appropriate for the data you need.
- Select Publish.
- Copy the ICS link, open it in a browser, and download the
.icsfile.^2^
Publishing creates a read-only link that can expose calendar information to anyone who receives it. After downloading the file, return to the same settings page and select Unpublish if the link is no longer needed.^2^
2. Convert ICS to Excel
The matching Q&A resolution uses this converter:
https://www.coolutils.com/online/ICS-to-XLSX
This is a third-party, non-Microsoft service. Do not upload the calendar if it contains confidential, medical, financial, or otherwise sensitive information.
- Open the converter.
- Upload the downloaded
.icsfile. - Select XLSX as the output format.
- Convert and download the workbook.^1^
- Open it in Excel and remove or rearrange columns as required.
- For CSV, select File → Save As and choose CSV UTF-8 (Comma delimited) (*.csv).
The resulting columns depend on the publication detail level, account policy, information contained in the ICS file, and converter support. Fields such as attendees, organizer, description, recurrence details, or private-event information might be absent.
If “Publish a calendar” is missing
Calendar publishing may be unavailable for the account or disabled by an organization’s sharing policy. For a work or school account, ask the Microsoft 365 administrator whether external calendar publishing is permitted. If classic Outlook is available, it can coexist with new Outlook, but the supplied Microsoft documentation does not establish a direct calendar-to-CSV workflow in new Outlook itself.
